We are seeking a highly organized and proactive Administrative Assistant to provide essential office support and ensure smooth day-to-day operations. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Manage accounts payable using QuickBooks Online
- Draft, edit, and manage professional correspondence (email, letters, proposals, and forms)
- Complete and submit job-specific pay applications
- Coordinate insurance ordering and related documentation
- Provide outstanding customer and client service, both in person and over the phone
- Handle incoming calls on a 4-line phone system
- Perform general office tasks including filing, scanning, faxing, and photocopying
- Maintain accurate records and perform data entry
- Create and maintain Excel spreadsheets and reports as needed
- Support administrative projects, systems, and procedures to improve office efficiency
- Perform other administrative tasks as assigned
Qualifications:
- Minimum of 4 years’ experience in an administrative support role
- Proficient in QuickBooks Online
- Typing speed of 50+ words per minute
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent written and verbal communication skills
- Strong ability to multitask and prioritize effectively
- Self-motivated, resourceful, and able to work independently with sound judgment
- Quick learner with strong initiative
Work Schedule & Benefits:
- Hours: Monday – Friday, 7:00 AM to 3:30 PM
