Administrative Assistant supports daily office operations and assists with Human Resources various administrative and employee support tasks. This position requires excellent organizational, communication, and multitasking skills to ensure the smooth operation of both office and HR functions. The ideal person is a proactive team player with strong administrative skills.
Responsibilities
Office Administration:
- Create and maintain accurate and up-to-date client files, including consent forms and other necessary paperwork.
- Submit required documents for school-based ABA therapy cases.
- Maintain and update staff and client schedules in clinical software.
- Manage incoming calls, emails, mail, and deliveries.
- Maintain and order office supplies and coordinate maintenance of office equipment as needed.
- Manage the company’s social media presence, including content creation and engagement.
- Assist with administrative tasks in the office.
- Ensure a clean, organized, and welcoming office environment
- Human Resources Support:
- Assist with coordination of interviews of potential new hires and other onboarding administrative tasks as needed.
- Assist with employees’ files and records ensuring confidentiality and accuracy.
- Track and monitor employee compliance with training, certifications, and company policies. Proactively follow up with employees to ensure compliance is maintained in this area.
- Distribute and manage employee uniforms, ensuring proper inventory and distribution.
- Manage employee software access including various system logins and email setup. Support employees on password resets as needed.
- Assist employees with Medicaid applications and ensure proper documentation is completed.
- Requirements, Qualifications & Skills
- High school diploma or equivalent.
- 2+ years of experience as an Office Administrative Assistant. Human Resources support experience is a plus.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Proficiency in Microsoft Office Suite. Work Environment/Physical Demands
- The position is primarily based in the office setting.
- Requires prolonged periods of sitting, typing, and working on a computer.
- Occasional lifting (up to 25 lbs.) may be required to assist with office supplies, equipment, or materials.
Job Type: Full-time
Pay: $22.00 - $27.00 per hour
Expected hours: 40 per week
