Job Summary:
Purpose Statement
Under the direct supervision of the Director of Student Services, the primary responsibility of the Administrative Assistant shall be to assist in assuring the smooth and efficient operation of the District student services office. Student services is inclusive of special education, 504 plans, related services, special education transportation, private placement, and nursing.
- Provides clerical and administrative support to the student services department.
- Provides detailed messages and screens calls for the student services department, comfortably asserts action for situations as needed.
- Maintains electronic files for the department, ensuring accurate record-keeping in alignment with legal standards.
- Maintains budget information for the student services department, assists in budget preparation as required, and places orders for materials as needed.
- Monitors Medicaid reimbursements.
- Provides accurate data for and completes child count for governmental reporting.
- Administers special education transportation, including ongoing communication and collaboration with families and the facilities/transportation department.
- Works diligently to build capacity with school secretaries to track building needs and coordinate effective communication.
- Interfaces with all levels of staff within the District and with local and regional governmental bodies as required and directed.
- Performs other related duties as may be necessary and assigned by the director and coordinator of student services.
Job Requirements: Minimum Qualifications
Knowledge, Skills, and Abilities
Knowledge – The candidate must have proficient knowledge in the following areas:
- High school diploma or equivalent required; post-secondary education/training preferred.
- Administrative assistant experience in a school environment is preferred.
- Any equivalent combination of experience and education will be considered.
- Excellent written and oral communication skills in standard English.
- Preparation, maintenance, and review of student services records, reports, and documentation.
- Operation of standard office equipment, including using a variety of software applications.
Skills – The candidate must demonstrate the following skills:
- Demonstrates proficiency in computer databases, electronic filing systems, spreadsheets, email, and related applications.
- Demonstrates excellent verbal and written communication skills and organizational skills.

Work Environment
The usual and customary methods of performing the job require the following physical demands: occasional lifting, carrying, pushing and/or pulling, frequent climbing of stairs, walking and twisting. Must have sensory skills in order to effectively communicate and interact with others employees and the public through use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, and have significant fine finger dexterity. Generally, the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
Experience: Administrative assistant experience in a school environment preferred.
Education: High school diploma or equivalent required; post-secondary education/training preferred.
