Summary:
This is a professional staff full-time position with the El Paso County Emergency Services District No. 1 (EPCESD No. 1). This position is responsible for performing administrative services for EPCESD No.1 within the scope of established policies and procedures. An employee in this position will perform technical and administrative work assignments to ensure the daily function and operation of EPCESD No.1. Work includes typing, filing, financial record keeping, coordination of meetings and conferences, obtaining supplies, and performs a variety of administrative duties as assigned. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
Essential Duties & Responsibilities:
· Greets visitors and answers phones for EPCESD No.1, takes messages or fields/answers all routine and non-routine questions. Coordinates with other personnel to cover phones.
· Receiving telephone calls, recording messages and screening telephone calls for redirection.
· Organizes & prioritizes large volumes of information and calls and solves routine matters.
· Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
· Acts as a liaison with customers from other departments and outside agencies to provide general support & assistance. Handles routine information and explains internal policies when necessary.
· Works independently and within a team on special nonrecurring and ongoing special projects.
- Assists with creating invoices and receiving and recording customer payments in Quickbooks.
- Scans Payable files for accounting purposes.
- Assist ESD Administrator and Admin. Assist. III with routine accounting activities.
- Monitors security cameras to open gates for deliveries.
- Maintaining Filing systems digital and physical.
- Organizing and scheduling meetings and appointments held in the building.
- Accurately enter and maintain data in databases or tracking systems. Handle confidential and sensitive information.
- Assists department heads with requested tasks.

Supervisory Responsibility:
This position has no supervisory responsibilities.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m. These hours may change at the discretion of the Administrator, as a benefit to the District.
Travel:
Maintain possession of a valid Driver’s License and have a satisfactory driving record as a condition of employment.Must have access to and use of own transportation. Local travel required to attend meetings. Limited overnight travel.
Required Education and Experience:
1. High school diploma.
2. Two years of administrative experience preferred.
Additional Eligibility Qualifications:
· General basic knowledge of QuickBooks, Microsoft Office and Dropbox.
· Knowledge of Business English, spelling, punctuation, and mathematics.
· Ability to operate or learn the use of modern office equipment such as a copier, computer, calculator, digital recorder, and telephone.
Work Authorization/Security Clearance:
Be able to pass a background check and drug screen.
Physical Demands:
· Ability to hear, speak and understand conversation in English. Use of senses which include sight and hearing.
· Ability to lift, carry, push or pull items which may weigh between one and 15 lbs.
· Ability to carry items from one point to the other for a distance which may range from less than 10 feet to not more than 100 yds.
· Ability to bend, kneel, or squat and stay that way for periods between one and ten minutes.
· Ability to move back and forth and sideways while in a bending, kneeling, or squatting position.
· Ability to sit and type continuously for periods longer than 30 minutes.
