Summary:
As the second largest bail bonds company in California, we are currently searching for an Administrative Assistant to President and CEO. The ideal candidate should have 4-6 years of executive assistant or administrative support experience with excellent organizational skills, attention to details, wonderful communication skills, knowledge with MS office, travel plan arrangement. This is a temp to permanent position.
Requirements:
- 4-6 years of executive assistant or administrative assistant experience
- Professional demeanor, outstanding written, oral, and interpersonal skills
- Ability to maintain high standards of integrity, ethics, and confidentiality
- Ability to manage sensitive and confidential information with discretion and
sound judgment
- Excellent attention to detail
- Excellent organizational skills
- Experience with managing complex calendars, travel arrangement, meeting logistics across multiple time zones
- Project management experience with complex, diverse, and/or unique projects
- Must be able to work independently or with all levels of staff throughout
the organization
- Legal secretarial experience preferred but not required
- Experience with MS Office, Zoom, digital calendar systems, phone software
and bail software
- Flexible, personable, and congenial
- Clean criminal background
- Must be able to work independently as well as within a team
Duties and Responsibilities:
- Support CEO with all administrative functions and other projects assigned by
CEO (phone, travel arrangements, handling daily operation matters, etc.)
- Acts as liaison for CEO and company
- Manage complex calendars, travel arrangements and meeting logistics
- Prepare detailed travel itineraries, agenda, briefing materials in advance of meetings or trips
- Prepare and draft internal and external e-mails, memos, correspondence, reports, presentation for monthly meetings, vendor contracts and other documents
- Coordinate and/or prepare daily agendas, updates, or reminders for CEO and executives
- Coordinate and plan meetings, other similar functions for CEO, executives, and/or on behalf of the company
- Coordinate cross-functional communications to ensure alignment and timely update with all relevant parties
- Track and follow up on high priority projects, deadlines, and deliverables
- Monitor timeline of recurring projects to ensure timely renewals and/or submissions (weekly, monthly, annually)
- Proactiveness in delivering administrative support, solutions, or requests of CEO and other executives prior to request being made
- Outstanding multi-tasking skills and ability to adapt and function in a fast paced, high stress changing environment with accuracy and professionalism
- Managed ad hoc ad personal task, errands on behalf of CEO, executives, or organization
- Handle all incoming and outgoing mail
- Orders office supplies
- Other projects assigned by CEO and executives
Education:
- BS/BA degree in Business Administration or related field.
