Department Overview:
The Administrative Coordinator for Recruitment and Retention is responsible for implementing and coordinating programs and supporting initiatives that promote and support the recruitment and retention of students across the academic programs at OHSU. This position reports to the Program Manager for Recruitment and Retention. The Administrative Coordinator for Recruitment and Retention will work closely with the Program Manager for Recruitment and Retention to plan and support programs and initiatives that expand and enhance recruitment and retention of OHSU students. Additional work will include working to increase and embed cultural competency and awareness within OHSU practices and processes to support student belonging and retention.

Pay Range:
$28.25 - $38.19 per hour - Commensurate with Experience

Function/Duties of Position:
1. Recruitment Programming/Initiatives
  • Under the direction of the Program Manager for Recruitment and Retention, support and coordinate recruitment activities and events for prospective OHSU learners. This includes, but is not limited to, meet and greets, campus tours, conference planning and support and other recruitment initiatives.
  • Manage the recruitment materials checkout process in partnership with the Office of the Provost.
  • Provide support for procurement of recruitment materials.
  • Collaborate with OHSU academic programs and units to support their DEIB related recruitment initiatives and work.
  • Manage the Equity Internship program
2. Retention Programming/Initiatives
  • Coordinate and implement recruitment events and activities. This includes, but is not limited to, connection/networking events, information sessions, and prospective student socials.
  • Support campus tours and visitor scheduling.
  • Partner with the CAP and Student CARE programs to support students navigating campus challenges that might inhibit retention.
3. Community Building and Outreach
  • Build relationships with learners to be better informed of their needs and experiences.
  • Collaborate with campus departments, schools, and programs
  • Collaborate with remote OHSU campuses to support retention of students.
  • Support initiatives and collaborate with community relations teams at OHSU.
  • Initiate short-term and long-range planning efforts, in collaboration with Program Manager for Recruitment and Retention.
  • Keep current on national, regional, and local trends and scholarship related to area of professional focus.
4. Campus and Community Relations
  • Respond to requests and ideas from students, Student Interest Groups (SIGS), and other campus constituents as part of supporting CLDI’s continued recognition as a campus leader and supporter of DEIB.
  • Facilitate and sustain collaborative partnerships and coalitions with various campus constituents and entities to advance DEIB across campus.
5. Center for Learner Diversity and Inclusion generalist duties
  • Assume responsibility for emerging areas of need as identified by Associate Vice Provost of CLDI and the Program Manager for Recruitment and Retention.
  • Contribute to the overall goals of CLDI and service to students as an active participant in all staff meetings and similar activities.
  • Serve on departmental and university committees, coalitions, task forces, and other ad-hoc assignments as requested.
Required Qualifications:
  • Four years of general office or secretarial experience; OR
  • An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
  • A Bachelor’s degree and two years of general office or secretarial experience; OR
  • An equivalent combination of training and experience.
  • 3 years of experience working with college students, especially related to recruitment and retention.
  • Experience that demonstrates the ability to successfully work in partnership in an academic or healthcare environment.
  • Experience working with student-oriented event planning.
  • Experience working with a variety of diverse communities or populations (disability, historically marginalized, first generation, etc.).
  • Knowledge of the prevailing and emerging trends in higher education.
  • Knowledge of and experience with event planning and management.
  • Knowledge of and experience with recruitment and retention strategies especially for historically marginalized communities.
  • Ability to undertake multiple priorities concurrently, ability to self-prioritize, and to consistently meet due dates and timelines.
  • Excellent oral, written and interpersonal communication skills to effectively interact with campus constituents.
  • Professionalism and customer service disposition.
  • Ability to work in a collaborative, team- centered work environment and provide expert support to campus partners in a timely manner.
  • Working knowledge of Microsoft software package.
Preferred Qualifications:
  • Experience in an academic or university setting.
  • Experience working with students from a variety of backgrounds and experiences in an academic or university setting.
  • Experience giving or coordinating group visits or tours.
  • Strong stand-up presentation/training skills. Familiarity with Canva, or other graphic design tools.
Additional Details:
The employee will occupy a space on the Portland Marquam Hill OHSU campus. The position will primarily be on-campus, with possible hybrid format during certain approved timeframes. Employee will work 40 hours per week, Monday thru Friday, generally from 8:30 am to 5:00 pm. A flexible work schedule is required, and travel may be needed to support events within the state and to OHSU campuses.

Some attendance at local, regional, and national events for job related reasons and professional development opportunities. Some evening and weekend work as determined in advance and in conjunction with Associate Vice Provost for CLDI. On campus work environment may include some noise level and interruptions due to student activity.

This position requires sitting at least two hours at a time, travelling to various schools/departments and significant use of computers, copiers, phones, and other technology. Ability to carry and lift up to 25 pounds.
Ability to perform key office functions including answering the phone, responding to e-mail, composing documents and responding to phone and e-mail inquiries. Travel to OHSU sites around the state as needed for recruitment, orientation, and retention efforts.
