The IT Administrative Coordinator provides essential administrative and operational support to the Information Technology (IT), Clinical Informatics, and Project Management teams. This non-technical role is responsible for coordinating procurement processes, managing inventory and asset tracking, processing departmental billing, scheduling meetings, and supporting documentation and internal processes. The ideal candidate is highly organized, detail-oriented, and capable of supporting multiple teams in a fast-paced, collaborative environment.
Position Details
- Work Location: This is an in-office position located at 4266 Sunbeam Road, Jacksonville FL; no work from home at this time
- Compensation: $20.00 -$22.00 hour base salary, plus full benefits package including 23 days PTO annual
Job Responsibilities:
Administrative Support
- Schedule and coordinate meetings, trainings, and planning sessions across IT, Clinical Informatics, and Project Management
- Prepare agendas, take meeting minutes, and track follow-up actions
- Manage calendars and support internal communications for team leaders
Procurement & Inventory Management
- Coordinate ordering of hardware, software, and services
- Track deliveries, maintain asset inventory records, and ensure accurate documentation
Billing & Budget Support
- Process purchase requisitions and invoices in coordination with Finance
- Reconcile departmental purchases against budget allocations
- Maintain organized records of financial documentation, including quotes and receipts
Operational Coordination
- Maintain and update internal documentation, policies, and procedures
- Support onboarding and offboarding processes, including equipment coordination
- Organize digital and physical files across supported departments
Other Duties
- Provide general administrative support to leadership and team members across all three departments
- Serve as a point of contact for routine internal inquiries
- Assist with preparation of reports, presentations, and supporting materials
Education & Experience
Any combination of education and/or experience that would provide the required skill and knowledge for successful performance would be acceptable. Typical qualifications would be equivalent to:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- 2+ years of experience as an administrative assistant or in a similar role.
Desired Knowledge & Skills
- 4+ years of experience in an administrative or coordinator role
- Experience supporting technical or healthcare-related teams
- Familiarity with purchase order and invoice processing systems
- Basic understanding of IT, informatics, and project coordination terminology
