Position Title: Administrative Support Manager

Location: Head office

Job Purpose

Accountable and responsible for verifying all T&E before accounting in the system timely.

Administrative support manager is responsible for helping a business run smoothly and efficiently. Administrative support managers support the work environment of a business by observing what needs scheduling, maintenance, and coordination and take responsibility for much of the paperwork, policy, and office supervision.

Key Responsibilities

  • Forwards information by receiving and distributing communications, collecting, and mailing correspondence and copying information.
  • Air ticket reservations (Email communications for travel arrangements and payment follow up)
  • Hotel room reservation and car rental arrangements for guests coming for work or conferences (Email communications, Guarantee letter preparations and payments follow up)
  • LOI and Application letters preparation for guests coming for work or conferences (Email communications and follow up)
  • Support expats with transition
  • Managing director’s calendar management and support upon request
  • MT's expense settlement supporting with documents for their home items shipment (Communicating with movers)
  • Preparing quarterly expense report for the managing director to be sent to the global office.
  • MT's car PM follow up and arranging replacement.
  • Following up on MT drivers leave request and arrange replacements.
  • Follow up on Fireworks cleaning service and process payment.
  • Supporting Administrative Assistant and receptionist.
  • Oversee the maintenance of physical facilities and equipment.
  • Manage the budget and financial resources of the organization.
  • Monitor and maintain office suppliers.
  • Support in arranging management meetings, and other general meetings as required to expected standard.
  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to the organization accomplishments.
  • Collaborate with other managers and stakeholders to achieve organizational goals and objectives.

  • Education
    • BA degree in administrative office Management, Secretarial Science, or related fields

    Experience and Skills

    • 4-years’ experience
