PURPOSE
Under close supervision of the operation leadership and dermatology technicians, supports cosmetic practice by providing complete and appropriate solutions for every client. Helps clients navigate the aesthetic process by educating, promoting and selling products and services. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.
ESSENTIAL FUNCTIONS
- Consults with patients and clients about their skin care needs and available products.
- Develops customer relations by educating patients and clients about cosmetic services, products, and prices; answers clients' questions and handles service situations when required.
- Stays up to date on cosmetic services and products provided and best practices and promotional trends.
- Reaches out to customer leads through cold calling.
- Coordinates sales efforts with team members and other departments.
- Collects payments from patients and clients, posts amounts, and balances drawer for end of day deposit.
- Notifies appropriate personnel of emergencies, messages, patient arrivals, etc.
- Books and confirms appointments utilizing computer system. When booking appointments, also confirms and/or makes any changes to demographic information and notifies patient of account balance.
- Rooms patients and prepares patients for provider exam.
- Administers medication under physician’s direction and within the scope of practice as demonstrated by completion of training and testing (including numbing patients prior to procedures).
- Reviews and provides post-op instructions to patient.
- Takes before and after photos of patients as well as obtains necessary photo consent forms.
- Ensures rooms are properly stocked and supplies are current and within expiration dates.
- Cleans patient rooms as needed, including proper handling of dirty laundry.
- Ensures laundry cart is stocked with fresh linens on a daily basis.
- Follows directions given by team leader or supervisor.
- Follows clinic protocols.
- Provides patients with educational materials as directed.
- Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
- Regular and dependable attendance.

OTHER DUTIES AND RESPONSIBILITIES
- Performs patient service coordinator functions, including but not limited to covering front desk and scheduling appointments, as needed.
- May be responsible for answering incoming phone calls coming into nursing triage, which include the following:
- Determines if the call is low acuity or high acuity by demonstrating strong listening skills.
- If able to assist patient in a non-clinical situation, will continue the call.
- Forwards to the appropriate clinical staff member on duty if the call requires any clinical intervention.
- Utilizes the smart phrases when taking any phone messages and routing directly to the provider.
- Creates master deposit as directed.
- May assist providers with procedures by setting up equipment, assisting with patient preparation, and cleaning and storing equipment after exam. Obtains applicable consents and completes all necessary documentation in EMR.
- May maintain equipment (autoclaves, sterilizes, washes speculums, checks expiration dates, etc).
- Performs other duties as assigned.
QUALIFICATIONS
Education and Experience
- High school diploma or GED.
- Sales and customer service experience.
- Six (6) months or more experience either working as a Sales Associate, Medical Assistant or working in a clinical care or cosmetic setting providing direct patient care beyond Activities of Daily Living (ADL).
Preferred:
- Experience working in a cosmetic sales and services setting and/or proven work experience as a sales representative.
- Highly motivated in cosmetic sales and products.
- Ability to administer medications & injections within scope of position within 90 days of hire.
- Knowledge of medical terminology.
- Excellent organizational skills.
