Position Overview
We’re hiring a Patient Experience Coordinator to serve as the operational and relational hub of our studio. This role goes beyond traditional front desk duties — it merges hospitality, client education, scheduling, and internal coordination. You’ll be the face of the brand for our clients, supporting them from first inquiry through post-treatment follow-up, and guiding them in understanding our treatments and skincare philosophy.

Your Key ResponsibilitiesClient Experience & Sales Support
- Serve as the welcoming, attentive first point of contact for all patients
- Provide thoughtful guidance on treatments and skincare products in a non-salesy, empowering tone
- Follow up with new leads, assist with bookings, and help convert inquiries into long-term clients
- Maintain ongoing communication with existing patients to support retention and loyalty
- Manage check-in/check-out procedures, patient consents, and aftercare touchpoints with precision and warmth
Studio Coordination
- Oversee the day-to-day rhythm of the clinic to ensure smooth operations for patients and providers
- Manage and optimize scheduling across rooms and providers for maximum efficiency
- Ensure the space reflects a high-end, serene atmosphere at all times — including cleanliness and supplies
- Support inventory tracking, EMR documentation, and backend logistics
Brand Engagement & Community
- Assist with in-studio events, partnerships, and brand initiatives
- Contribute to client engagement via social media in a voice aligned with our brand ethos
Who You Are
- 2+ years’ experience in a client-facing role in aesthetics, dermatology, luxury wellness, or high-end hospitality
- Impeccably polished and emotionally attuned — you know how to create a sense of trust and comfort
- Clear communicator with strong writing and verbal skills
- Tech-comfortable — familiar with booking software, EMR systems, and inventory tools
- Passionate about skincare and aesthetics (aesthetic licensure is a plus but not required)
- Detail-obsessed, organized, and calm under pressure
