Annual Giving Coordinator
Department: Annual Giving
Reports to: Annual Giving Coordinator
Full-Time, Hourly, Non-Exempt
Location: Hybrid Office Environment in Alpharetta, Georgia
Position Summary:
Provide administrative and organizational support to the Annual Giving Manager and all members of the Annual Giving Team. Engage with donors and international staff in responsibilities of administration, organization, preparation of materials, and maintaining databases.
Essential Duties:
- Draft, edit, design, and format letters, emails, invoices, reports, presentations, and other documents.
- Efficiently handle multiple fast-paced projects.
- Maintain discretion, confidentiality, and appropriate content on all communications between children and donors in line with Kids Alive International’s Safeguarding Policy and best practices.
- Manage donor accounts by ensuring clear communication, updating accounts, working with Accounting for collections, and general assistance to donor requests.
- Engage donors via phone calls and emails in a friendly and professional manner.
- Determine next steps with the appropriate person or team and facilitate further donor requests.
- Establish open and collaborative relationships with all team members and the in-country staff.
- Navigate multiple online platforms including Studio Enterprise, Cloudinary, OneDrive, Microsoft Office, and Dropbox.
- Support special projects and assist in other administrative areas as needed.
- Collaborate with other teams to develop, promote, or execute new or improved processes.
- Communicate weekly updates and priorities to the Annual Giving Manager.
- Track, maintain, and update photo databases.
- Facilitate logistical details for projects and reports, collaborating with other staff and independently managing unexpected needs or issues as they arise.
- Utilize artificial intelligence when appropriate to respond to donor communications verbally or in writing.
- Other duties as assigned by the Annual Giving Manager.

Education & Experience Requirements:
- Bachelor’s degree, or extensive administrative experience.
- Certification in fields related to administration or customer service preferred.
Skills & Knowledge Required:

- Excellent organizational skills and attention to detail.
- Impeccable verbal and written communication skills.
- Willingness and ability to learn new technology related to the role.

- Proficient with Microsoft Office Suite and other business collaboration tools.

- High level of personal and professional integrity, including the ability to maintain confidentiality.
- Willingness to pray with donors, colleagues, and in staff meetings.
- Spanish and/or French language skills preferred.

- Remain in a stationary position for extended periods of time and be able to move about inside the office to access file cabinets, office machinery, etc.
- Operate a computer and other office productivity machinery and technology, such as a calculator, copy machine and computer printer, and must be able to use hands to handle, control or feel objects or controls and reach with hands and arms.
- Constantly communicate and exchange correct information with team members, missionaries, and other international staff effectively.
- Read/comprehend, write, communicate orally, reasoning, analytical abilities, and mental flexibility.
- Move objects up to 20 pounds.
- Occasionally climb stairs, bend, squat, kneel, crouch, and reach above shoulder to access materials and/or documentation.
- Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus to compare and distinguish accounting and administrative data.
- Hearing ability to perceive the nature of sounds at normal speaking level with or without correction. Ability to receive detailed information through oral communication and to make discriminations in sound.

Regular Work Environment:
- While performing the duties of this job, the employee will be regularly working in a typical interior/office work environment.
- The noise level in the work environment is usually moderate.
- This role may on rare occasions be required to work overtime or outside of normal working hours.
