Position Summary:
The Appointment Specialist creates a positive first impression of the practice in greeting patients and other callers. They are responsible for quickly and accurately directing callers to the appropriate department/person, scheduling patient appointments according to practice protocols, and obtaining the necessary information for new and established patients.
Essential Duties and Responsibilities:

- Greets patients in a warm, welcoming, and professional manner. Always utilizes excellent customer service skills.
- Schedules patient appointments by consistently and accurately utilizing department scheduling guidelines.
- Verifies all demographic information in practice management system.
- Answers all patient questions regarding our services and connects patients with appropriate personnel.
- Checks In-Basket daily and completes pending tasks.
- Assesses needs and schedules patients for transportation and translation assistance.
- Follows-up with patients for missed appointments to identify barriers and reschedule.
- Checks the call-in and/or cancellation lines at the direction of supervisor.
- Works on various reports at the direction of supervisor.
- Covers Greeter/Switchboard area as needed.
- Conforms with and abides by all regulations, policies, work practices and instructions.
Non-Essential Functions: Performs other duties as assigned.
Education/Training/Experience:
- Minimum of High School diploma (or equivalent).
- Previous medical office experience preferred.
- Previous customer service experience preferred.
