Overview:
Effectively supporting the Chief Executives in a professional manner, the Assistant, Executive will play a central role in keeping the business operations and activities on track, moving forward, and thus participating in the growth and future of PDS®. The Assistant, Executive must have exceptional communication skills, be flexible yet thorough, and possess the ability to manage multiple tasks efficiently while working productively in a fast-paced, team-oriented environment.
Responsibilities
- Manages the executive's daily schedule and appointments. Ensures all tasks are handled efficiently, and the executive's time is optimized.
- Coordinates travel arrangements inclusive of complex and detailed travel plans & itineraries and compiles documents for travel-related meetings.
- Arranges and manages staff meetings, 1:1’s, and all hands meetings, including scheduling, material preparation, technology set-up, and post-meeting follow-ups.
- Works both independently and within a team on special, nonrecurring, or ongoing projects.
- Act as a professional representative of the executive at meetings, events, and in communications both internally and externally.
- Acts as a project lead for special projects (at the request of the SVP) which may include assembling and analyzing information, planning, and coordinating multiple presentations, disseminating information, organizing company-wide events, arranging facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budget.
- Receives, processes, and/or prioritizes a heavy volume of incoming communication inclusive of correspondence, e-mails, faxes, and phone calls.
- Composes and prepares correspondence, reports, presentations, and other complex documents in final form from very rough drafts.
- Conducts background research and provides pertinent materials to prepare SVP for upcoming meetings and conferences.
- Spearhead the job rotation program to encourage cross-departmental understanding and synergy, thereby fostering innovation and reducing silo mentality.
Qualifications
- Bachelor’s degree or higher in Business Administration or related field.
- 3-5 years’ experience as an Administrative Assistant or role where many of these skills are required.
- Proficient in MS Office Suite, especially in MS PowerPoint and MS Excel.
Preferred
- Bachelor’s degree or higher in Business Administration or related field and 7+ years of experience; or equivalent combination of education, training, and experience.

Salary Information: $84,000.00-$106,000.00 / Annually
