Overview
We are seeking a dedicated and detail-oriented Assistant Property Manager to join our property management team. The ideal candidate will have a strong background in property management, customer service, and administrative support. This role involves assisting the Property Manager in overseeing daily operations, ensuring compliance with regulations, and maintaining positive relationships with tenants and vendors. The Assistant Property Manager will play a crucial role in enhancing tenant satisfaction and supporting the overall success of our property management efforts.
Responsibilities
- Build and maintain a strong rapport with homeowners, board members, builders, vendors, and office support staff.
- Work collaboratively with Property Manager and provide support with special projects regarding community maintenance, vendor communication and scheduling inspections as well as assist on various other community projects.
- Timely communication: Field phone calls and emails (+web submissions) and direct appropriately. Return voicemails and emails promptly.
- Assist with Lease Tracking, Lease Capacity and Lease Applications according to the CC&R guidelines.
- Work collaboratively with event coordinator and PM for homeowner functions – assist with annual calendar and coordinating events.
- Review community websites monthly to ensure monthly financials are posted.
- Support PM in meeting preparation for telephonic meetings and on-site meetings. Take meeting minutes/notes. Ensure meeting materials are posted on the community website.
- Assist in budget creation, meeting agendas, project management, invoicing, property amenities, website assets, email blasts, RFP process, and many other associated services.
- Run financial, homeowner and community reports in C3.
- Input community information into C3 Facts
- Use database system to record Board members, committee members, incident reports, phone calls, ACC’s, et.
- Assist with work-orders as needed, track maintenance requests, vendor schedules and performance.
- Monitor and provide updates, newsletters, communications for the community website as needed.
- Work with the Compliance and New Build Managers regarding any escalated violations.
- Attend weekly operations meetings, in person or by phone.
- Continuing Education – Stay current with best practices and strategies (CAI)
- Other duties as necessary to ensure the successful management of each community.
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
Expected hours: 40 per week
