POSITION SUMMARY

ESSENTIAL DUTIES AND RESPONSIBILITIES
Strategic Support & Administration
- Coordinate executive calendars, meetings, and travel arrangements with precision and efficiency.
- Prepare comprehensive meeting materials, facilitate discussions, and ensure timely follow-through on action items.
- Create high-quality correspondence, presentations, and communications that reflect executive standards.
- Handle sensitive information with the utmost discretion and professionalism.
Project Leadership & Coordination
- Lead cross-functional project coordination, ensuring deliverables meet quality standards and deadlines.
- Develop and maintain project tracking systems, timelines, and performance metrics.
- Collaborate with department heads to streamline workflows and enhance operational efficiency.
- Contribute to data analysis and strategic planning initiatives.
Process Innovation & Improvement
- Identify opportunities for operational enhancements and help implement solutions.
- Document and optimize workflows, procedures, and best practices.
- Support the adoption of new technologies and systems that drive organizational growth.
- Monitor key performance indicators and provide actionable insights.
Stakeholder Relations & Communication
- Serve as a professional liaison between departments, fostering collaboration and information sharing.
- Coordinate logistics for client meetings, industry events, and executive presentations.
- Maintain and update customer relationship management systems and key contact databases.
- Support internal communications and engagement initiatives.
EDUCATION AND/OR EXPERIENCE
- Bachelor's degree preferred, or equivalent combination of education and relevant experience.
- 3-5 years of progressive experience in administrative, operations, or executive support roles.
- 2+ years of experience in commercial construction or related industry preferred.
- Demonstrated success in fast-paced, deadline-driven environments.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with AI tools and workflow automation platforms.
- Familiarity with project management software (e.g., Monday.com, Asana, Microsoft Project).
- Knowledge of commercial construction management platforms is a plus CRM systems experience preferred.
