The Opportunity
We are seeking an Attorney Development Project Assistant to join our Firm. This position will be based in our New York office (hybrid). Responsible for general human resources functions in the Attorney Development Department. Serves as a resource to attorneys and business services professionals on Firm processes.
- Supports the Attorney Development management team with various department related projects and assignments.
- Handles standard administrative functions, including but not limited to responding to general inquiries, maintaining department calendar, and completing expense reports and check requests, etc.
- Schedules department meetings and events, including the annual holiday party and quarterly anniversary celebrations.
- Assists with the preparation of forms, including but not limited to Family and Medical Leave paperwork, employment verification letters, and mortgage forms.
- Prepares and sends birth packet materials to new parents and coordinates with other offices.
- Collects and secures the attorney Matching Gifts Program forms and coordinates payment at year-end.
- Maintains files and records, including preparing new files and updating existing files for all active and termed attorneys firmwide.
- Assists with the onboarding paperwork and materials for the incoming associate class, international visiting attorney class, and laterals.
- Assists with International Visiting Attorney Program.
- Prepares departure packets for terminating attorneys and processes paperwork relating to attorney departures in the New York office.
- Coordinates the logistics of personal belongings for arriving and departing attorneys.
- Maintains the Clerkship Excel chart for terminated attorneys.
- Schedules and prepares highly sensitive materials; records and tracks updates for committee and pipeline meetings.
- Assists with the retired partner process.
- Prepares biweekly attorney “Exceptional Firm, Extraordinary People” postings.
- Assists with onsite vendors for quarterly loan consolidation presentations, mortgage seminars, attorney professional photo shoots.
- Reviews and updates the Discounts and Perks page annually.
- Assists with the creation and implementation of Attorney Development guidebooks and updates when needed.
- Anticipates supervisors’ needs by proactively identifying issues and conflicts and taking the initiative to offer solutions and preempt needs.
- Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
- Manages Firm resources responsibly.
- Complies with and understands Firm operation, policies, and procedures.
- Performs other related duties as assigned.
Qualifications
- Thorough knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
- Demonstrates effective interpersonal and communication skills, both verbally and in writing
- Ability to handle sensitive matters and maintain confidentiality
- Demonstrates close attention to detail
- Ability to meet deadlines
- Ability to handle multiple projects and shifting priorities
- Ability to organize and prioritize work
- Ability to work well in a demanding and fast-paced environment

Education and Experience
- Bachelor's Degree
- Minimum of one year of related experience in a professional services environment

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
Salary Details
$63,000 - $68,000
