Job Summary
We are seeking a highly organized and detail-oriented Bilingual (Japanese and English Speaker) Administrator to join our team. The ideal candidate will be responsible for managing front desk operations, providing exceptional customer support, and ensuring the smooth functioning of daily administrative tasks.
Responsibilities for Bilingual (Japanese and English Speaker) Administrator:
- Greet and assist customers who visit in the office in a warm and professional manner
- Answer phones, manage voicemail, and respond to emails and in-person inquiries
- Coordinate visitor sign-ins, safety protocols, and front desk security (key/fob access)
- Maintain reception area cleanliness and bulletin board updates
- Support the Executive Manager and leadership team with scheduling and administrative tasks
- Assist in clerical duties such as filing, data entry, and maintaining organized records
- Manage administrative supplies and place orders as needed
- Utilize QuickBooks for financial record-keeping and invoicing
- Operate phone systems to manage incoming and outgoing calls efficiently
- Collaborate with team members to improve administrative processes and enhance overall efficiency
Qualifications:
- 3–5 years of recent experience in an administrative or front desk role
- Bilingual – Fluency in Japanese and English required (spoken and written)
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Is able to work in the office on weekdays (This position is not a remote or hybrid position)
