Job Title: Intake, Outreach, and Billing Specialist

Position Summary:
We are seeking a dedicated and experienced Intake, Outreach, and Billing Specialist to play a critical role in client engagement, Medicaid billing, and community relations. This individual will be responsible for finding and enrolling new clients, managing the intake and transition process, overseeing Medicaid Waiver billing, and acting as the main liaison between the company and parents, guardians, and case managers. This is a key position in ensuring that individuals with intellectual and developmental disabilities (IDD) receive high-quality, person-centered services.
Key Responsibilities:
Client Outreach & Recruitment:
Proactively seek and identify potential clients through outreach efforts, referrals, and networking.
Attend and represent the organization at transition fairs, school IEP meetings, family events, and community programs.
Establish and maintain relationships with referral sources including schools, hospitals, case managers, and advocacy groups.
Educate potential clients and families about available services and how to access them through Medicaid Waivers and other funding sources.
Intake & Transition Coordination:
Lead the intake process, including gathering and verifying all required documentation, eligibility, and medical records.
Coordinate new client transitions into services, ensuring timely and smooth onboarding.
Monitor service needs, communicate with program staff, and ensure all intake information is up to date.
Maintain strict confidentiality and compliance with HIPAA regulations.
Billing & Medicaid Compliance:
Submit accurate billing claims to Indiana Medicaid (CIH and FSW waivers) through platforms such as Therap and EVV systems.
Track service authorizations, billing units, and ensure timely resubmission of denied claims.
Maintain detailed billing records for internal audits and state compliance reviews.
Job Type: Full-time
Pay: $28.00 - $30.00 per hour
Expected hours: 40 per week
