A growing finance team is seeking a Billing Specialist to join its Accounts Receivable function. This position is responsible for preparing, processing, and submitting client invoices while ensuring accuracy and adherence to billing guidelines. The role involves collaboration across departments, maintaining organized billing records, and resolving discrepancies. This is a full-time, in-office position based in Utica, NY.
Key Responsibilities:
- Prepare and process client invoices based on specific contract requirements, ensuring accuracy and timeliness.
- Compile supporting documentation and ensure invoicing aligns with contract billing instructions (e.g., Time & Materials, Fixed Price, Milestone Based).
- Maintain detailed records of invoices, contract modifications, and supporting materials for audit purposes.
- Track invoice status, follow up with clients or contracting officers, and support collection efforts when needed.
- Audit billable time and expense transactions, confirming correct billing rates.
- Collaborate with project managers, contracts, accounting, and other departments to resolve billing issues.
- Respond promptly to client inquiries regarding invoices.
- Assist with applying cash receipts and reconciling undeposited funds.
- Prepare correspondence regarding invoice approvals, edits, or adjustments.
- Participate in special projects and support other finance functions as assigned.
- Complete all required compliance training annually.

Education and Experience Requirements:
- Bachelor’s degree in a related field (preferred).
- 2–5 years of experience in accounts receivable or billing, with government invoicing experience preferred.
- Experience with accounting software such as Sage Intacct (preferred).

Pay: $21.00 - $25.00 per hour
