Introduction:
This is a standard position description intended for use at Smoothie King – South Texas. The In-House Bookkeeper will serve as the central financial steward for all current and upcoming Smoothie King store locations. This role is designed for a highly detail-oriented, strategic, and proactive financial professional who will oversee day-to-day bookkeeping, financial reporting, and compliance, while also providing insights to support operational growth and profitability. The ideal candidate will possess advanced accounting skills, a strong understanding of retail operations, and the ability to implement scalable processes as the store footprint expands.
Key Responsibilities:
Financial Management & Recordkeeping:
- Maintain accurate and timely bookkeeping for all stores, including daily sales, cash flow, payroll, accounts payable/receivable, and inventory management.
- Reconcile bank accounts, credit card statements, and POS systems regularly to ensure accuracy.
- Manage and record lease agreements, loan schedules, and other contractual obligations.
- Track and manage equipment depreciation, leasehold improvements, and capital expenditures.
Financial Reporting & Analysis:
- Prepare monthly, quarterly, and annual financial statements, including income statements, balance sheets, and cash flow reports.
- Analyze financial data to identify trends, opportunities for cost savings, and areas for revenue enhancement.
- Develop and maintain customized financial dashboards and KPIs to inform decision-making.
- Coordinate with external accountants during tax filings, audits, and compliance reviews.
Budgeting & Forecasting:
- Lead the annual budgeting process, including sales projections, expense planning, and capital investment analysis.
- Monitor ongoing performance against budgets, providing actionable insights and recommendations.
- Assist in cash flow forecasting and liquidity management to support store expansion and operational needs.
Operational Support & Compliance:
- Ensure all stores adhere to financial policies, procedures, and internal controls.
- Support store managers with financial guidance, including inventory management, cost control, and sales reporting.
- Oversee payroll processing, tax compliance, and reporting requirements for multiple locations.
- Implement scalable bookkeeping and financial processes as new stores are added.
Systems & Technology:
- Manage and optimize accounting software (e.g., QuickBooks), POS systems, and other financial tools.
- Automate routine processes where possible to improve efficiency and accuracy.
- Train store managers and staff on financial procedures and systems as needed.
Leadership & Growth:
- Serve as a key financial advisor to executive management, providing strategic insights for growth initiatives.
- Lead efforts to streamline accounting workflows and improve financial controls across multiple locations.
- Assist with onboarding and training new store teams on financial procedures and compliance.
Qualifications & Skills:
- Bachelor’s degree in Accounting, Finance, or related field; CPA or advanced certifications preferred.
- 5+ years of experience in bookkeeping, accounting, or financial management, ideally within retail or franchise operations.
- Proven expertise with accounting software and POS integrations.
- Strong understanding of retail financial operations, inventory management, and store-level accounting.
- Excellent analytical skills, with the ability to interpret complex financial data into actionable insights.
- Demonstrated leadership capabilities, including training, process improvement, and cross-functional collaboration.
- Strong organizational skills, attention to detail, and ability to prioritize in a fast-paced environment.
- Knowledge of local, state, and federal tax regulations affecting retail businesses.

Supervisory Controls:
The CEO and/or Owner may make continuing, specific assignments detailing procedures to be followed. The supervisor provides instruction for resolving problems involving unfamiliar or unusual situations. The work is closely controlled, and the incumbent seldom works with a higher graded employee. The supervisor ensures that the finished assignments is completed according to instruction.
