We are currently seeking a dedicated and detail-oriented Business Office Manager to join our team and oversee billing and collections processes.
Position Summary:
The Business Office Manager (BOM) is responsible for managing the financial operations of the facility, with a primary focus on billing, accounts receivable, and collections. This role ensures that all resident accounts are maintained accurately and that reimbursements from Medicare, Medicaid/Medi-Cal, private insurance, and private pay sources are collected timely and in full compliance with applicable regulations.
Key Responsibilities:
- Oversee the day-to-day operations of the business office, including billing, collections, accounts receivable, and resident trust accounts.
- Prepare, review, and submit accurate billing claims to Medicare, Medicaid/Medi-Cal, managed care organizations, and private insurance companies.
- Monitor and follow up on outstanding accounts receivable and ensure timely collections.
- Maintain current and accurate records for all resident financial accounts.
- Collaborate with admissions and social services to verify insurance eligibility and obtain prior authorizations as needed.
- Coordinate resident financial interviews and assist families with financial paperwork, including Medi-Cal applications and payment agreements.
- Prepare monthly aging reports and participate in financial meetings with facility leadership.
- Ensure compliance with all applicable federal, state, and local regulations related to billing and collections.
- Manage petty cash and resident trust funds in accordance with facility policies.
- Assist the Administrator and corporate office with audits, budget preparation, and financial reporting as needed.
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
- Minimum of 2 years of experience in a skilled nursing facility or healthcare billing office.
- Strong knowledge of Medicare, Medicaid/Medi-Cal, and third-party payer billing practices.
- Familiarity with long-term care billing software (e.g., PointClickCare or similar systems).
- Excellent organizational, analytical, and communication skills.
- Ability to maintain confidentiality and professionalism in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
