Position Summary:
We are seeking a highly organized, detail-oriented, and proactive Closing Assistant to join our title company team. This position supports the attorney and closing coordinator in the preparation, coordination, and completion of real estate transactions. The ideal candidate thrives in a fast-paced, deadline-driven environment and brings a calm, professional approach to high-volume, high-stakes work.
Key Responsibilities:
- Assist with all aspects of real estate closings from contract to post-closing
- Communicate professionally with realtors, lenders, buyers, sellers, and other stakeholders
- Collect and review transaction documents for accuracy and completeness
- Prepare closing packages, obtain signatures, and ensure timely delivery of documents
- Coordinate scheduling of closings and manage appointment calendars
- Track critical dates and follow up on outstanding items to ensure deadlines are met
- Scan, file, and organize transaction documents in accordance with company procedures
- Support attorney and closing coordinator in resolving title issues or last-minute closing obstacles
- Help manage escrow funds, including receipt and disbursement as needed
- Perform general administrative duties such as answering phones, handling emails, and data entry
Qualifications:
- Prior experience in a title company, real estate law firm, or mortgage lending office strongly preferred
- Exceptional attention to detail and accuracy in handling legal and financial documents
- Strong multitasking and time management skills
- Ability to work efficiently and calmly under pressure and tight deadlines
- Proficient in Microsoft Office (Word, Outlook, Excel); experience with title software (e.g., Qualia) a plus
- Excellent written and verbal communication skills
- Strong interpersonal skills and a collaborative attitude
