Position Summary
The Commercial Service Coordinator is responsible for managing HVAC service calls and dispatching field personnel as required to meet customer needs. Must possess comprehensive knowledge of HVAC services to effectively translate customer needs to field personnel. Provides logistical support to field personnel and keeps customers informed of service progress, ensuring technicians operate in a cost-effective manner by aligning available field personnel with jobs based on their skill level and location. Also manage job reconciliation and financial aspects of each service job to maintain profitability and efficiency.
Key Duties and Responsibilities:
- Ensure service requests contain a comprehensive scope of work, along with cost estimates and sell prices.
- Make informed judgments regarding the selection of technicians or subcontractors qualified to perform service tasks and assign dispatch accordingly.
- Correspond with field personnel, providing detailed information about the type of work, location, scheduled time and on-site contact details for the assigned tasks.
- Maintain and monitor scheduled work using a cloud-based dispatch application.
- Coordinate the procurement of materials for service tasks and arrange for pickup by field personnel.
- Review completed jobs to ensure jobs meet the required standards. Invoice the customer accordingly.
- Facilitate product returns and prepare documentation for warranty parts.
- Other assigned duties as directed by management.
Critical Knowledge and Skills:
- Accuracy, analytical skills and attention to detail are required
- Ability to multi-task, despite interruptions and changing priorities
- Excellent verbal and written communication skills
Education and Experience:
- High school diploma or equivalent
- Must have experience specific to the Commercial or Industrial HVAC industry
- Two years related experience and training in customer service, dispatching or project management, or equivalent combination of education and experience
