Summary
As a Customer Service Representative at Dayco Systems, you will play a vital role in enhancing our customers' experience by providing top-notch support and assistance. This position is essential in helping us maintain our commitment to making our customers' days a little better.
Responsibilities
- Professionally handle incoming calls, emails, and online inquiries from customers.
- Schedule, confirm, and update HVAC service appointments based on urgency and technician availability.
- Provide accurate information regarding services, pricing, and timelines.
- Coordinate with dispatch to assign jobs and adjust schedules as needed.
- Resolve customer complaints or escalate complex issues appropriately.
- Maintain detailed records of customer interactions and job notes using CRM or service software.
- Conduct post-service follow-ups to ensure satisfaction and gather feedback.
- Assist with invoicing, billing inquiries, and payment processing.
- Support the sales team with lead tracking and maintenance agreement renewals.
Requirements
- High school diploma or equivalent required; associate degree or related coursework preferred.
- 1–3 years of customer service experience, ideally in HVAC, plumbing, or home services.
- Excellent communication and interpersonal skills.
- Strong multitasking and organizational abilities in a fast-paced environment.
- Proficient in Microsoft Office (Word, Excel, Outlook), CRM systems, and scheduling tools.
- Willingness to learn HVAC-specific software and terminology.
- Positive attitude and strong problem-solving mindset.
Preferred Skills
- Experience with service software (e.g., ServiceTitan, Housecall Pro, FieldEdge).
- Bilingual (English/Spanish) is a plus.
- Familiarity with basic HVAC terminology and service processes.
