Performs responsible public service work in the Circuit Court Clerk's Office administering oaths and conducting routine transactions on behalf of the Clerk.

Responsibilities

  • Provides first point of customer service to the public by responding to routine requests for information; greets and assists public in locating public records.
  • Attends court for civil and/or criminal cases, swearing in witnesses, taking notes, identifying exhibits, creating appropriate forms/orders for jail/detention center and attorneys.
  • Initiates electronic files for civil and/or criminal filings received by paper or e-filing, which include adoptions, divorces, name changes, and various other suit types, reviews filings to ensure compliance with the Code of Virginia and instruction from Supreme Court of Virginia, prepares summons and subpoenas. Forwards orders to required persons; files judgments and related documents including confession of judgments and State and Federal tax liens; prepares abstracts of judgments and issues writs of fieri facias.
  • Serves as senior jury administrator initiating questionnaires, summoning jurors, taking attendance, and other related duties.
  • Assists with identifying, researching, collecting and analyzing data to create reports and documents for special projects for the Office of the Executive Secretary at the Supreme Court of Virginia.
  • Serves as a point of contact for piloting new systems created by the Office of the Executive Secretary at the Supreme Court of Virginia for use in courts statewide.
  • Accepts paper and e-recording instruments verifying correct fees and recordation standards in accordance with the State Library of Virginia and the Code of Virginia have been met for land recordation such as deeds, deeds of trust, assignments, certificates of satisfaction and various other land recordings. Indexes and performs quality control procedures to verify correctness.
  • Prepares file for appellate court adhering to the standards outlined by the Supreme Court of Virginia.
  • Assess court costs/fines/restitution according to the standard outlined by court order and by the Supreme Court of Virginia.
  • Alternate for processing tax set-off payments and reviewing list of allowances for payment by attorneys, court reporters, witnesses, psychiatrists/psychologists and jurors for services rendered.
  • All documents are recorded and indexed in the Commonwealth of Virginia Electronic Recordation System.
  • Processes military discharges, concealed handgun permits, marriage licenses, and administers oaths for various offices.
  • Receipts fines, costs and restitution payments.
  • Performs other duties as assigned.

Qualifications:

  • Any combination of education and experience equivalent to a high school diploma; bachelor's degree or degree/certificate in paralegal studies preferred; some experience as a paralegal or legal assistant.
  • Some knowledge of the Circuit Court system and its operations.
  • Knowledge of internet and software applications including Microsoft Office products; principles and processes for providing customer service including setting and meeting quality standards for services, and evaluation of customer satisfaction.
  • Ability to communicate effectively and tactfully with public, members of the legal profession, law enforcement agencies, and fellow workers.
  • Ability to read and understand legal documents and follow oral and written instructions; and appropriately handle sensitive information and maintain confidentiality.
