ABOUT THE ROLE
The Development & Events Assistant will play a key role in supporting the Regional and Signature teams within the Development & Events department. The Development & Events Assistant will assist with fundraising support and logistics for multiple events, including high-profile black-tie galas, luncheons and educational symposia, cultivation events, and other strategic organizational opportunities. This position reports to the Assistant Director, Development and Regional Events.
This position is based in New York, New York. BCRF currently requires staff to work onsite a minimum of three days per week.
Primary Responsibilities
Events
- Support team members and volunteer leadership outreach to donors and supporters contributing to the overall fundraising success of events
- Assume responsibility for the procurement, tracking, acknowledgment, and fulfillment of in-kind donations for select raffles, silent auctions, and event gift bags
- Maintain critical event documents including on-site materials, packing lists, credential access; play a key role in the distribution of event materials to participants
- Spearhead multiple post-event ‘wrap up’ procedures and event donor stewardship initiatives including the drafting of well-executed donor thank you notes, the fulfillment of event pictures to select donors, mailing gift bags to donors who cannot attend, and the distribution of raffle items as needed
- Conduct research on notable guests and contribute to briefing documents in advance of events
- Coordinate the management of event supplies including the ordering, packing, and transportation of items and documents needed for event execution
- With impeccable attention to detail, ensure the accurate and timely review of printed event materials
- Print, scan, and mail donor acknowledgments for gifts on a timely basis
- Coordinate travel arrangements for special event guests, panelists, and team members as needed
- Coordinate event on-site logistics such as volunteer management, on-site meals for team members, distributing event materials, leading or co-leading staff meetings, and other responsibilities as assigned
- Actively participate in meetings with team members, donors, and partners by creating detailed agendas and thorough note-taking
- Additional event support and tasks as needed
Development Operations
- Maintain the master Development & Events department calendar of more than 40 annual events
- Process and track select invoices
- Assist in pulling donor mailing lists; tracking RSVPs, donations, and notes
- Assist in following up with donors on listing confirmations, pledge collections, and other communications as instructed.
- Assist in maintaining accurate and current donor records
- Manage and maintain comprehensive inventory including event supplies, materials, postage, and more
- Assist in any special projects as needed

- In addition, you have the following qualifications and experience:
- At least 2 years of experience in an administrative role in the nonprofit or event planning industries
- Computer and internet proficient, with the ability to learn proprietary computer databases and conduct extensive internet research
- Skilled in Word, Excel, PowerPoint, and Adobe Acrobat Suite
- Experience using Raiser’s Edge preferred
- Excellent organizational skills, decision-making abilities, and attention to detail
- Ability to multi-task, manage, and prioritize multiple requests and deadlines
- Strong project management skills, with a focus on interdepartmental collaboration
- Enthusiasm for working as part of a team while working independently with limited supervision
- Communicate effectively and graciously orally and in writing
- Foster BCRF’s donor-centric culture in which supporters receive the highest quality of service
- Willing to tackle ad-hoc projects outside of assigned responsibilities
Ability to lift, move or carry up to 15 lbs on an occasional basis; ability to push or pull a cart weighing up to 15 lbs
Travel:
Some travel is required for this role. In-person events may involve evening, overnight, or weekend time.
Compensation and Benefits:
This is a full-time non-exempt role. The salary range for this role is $25.00 - $27.00. Our compensation package includes an exceptional benefits package focusing on employe physical, mental and financial wellness. This role is eligible for overtime compensation.
