Title: Director of Administration

Unit: Supervised Release Program - Court Advocacy

Reports to: Senior Director of Programs

Status: Full-Time; Regular; Exempt

Salary: $80,000 annually

Location: 502 East 163rd Street Bronx, NY 10451

Schedule: Monday to Friday, 9:00am to 5:00pm with some evening hours

Position Summary:

Supervised Release offers an alternative to jail, providing pretrial supervision, case management, and voluntary social services to people charged with misdemeanor and non-violent felony offenses. Program participants are monitored to ensure their appearance at court dates, and they receive referrals to community-based programming. Under the Supervised Release Program (SRP), the Director of Administration will have direct oversight over all program-related operations as well as direct supervision and guidance of Community Engagement Specialists, Court and Community Operations Managers and Receptionists. The Director of Administration will work alongside the Director of Court Operations, Director of Compliance, Program Director and other internal and external parties, to ensure all office and program functions are operating properly. The Director will supervise, evaluate and support the development of staff within the Operations Unit, including maintaining regularly scheduled supervision sessions and overseeing day to day job performance, ensuring program goals are met.

Communication

The Director of Administration must be able to communicate effectively with internal departments and with external stakeholders, where participants will receive voluntary services. The Director must understand the role of each of these stakeholders and how to communicate with all.

Time Management

This initiative will serve a large number of individuals with many needing high level services. The Director of Administration must be able to manage their supervisees, ensuring quality service provision and data entry, while also being the front face of the programming of SRP. Managing time and effort for the above is imperative in being able to manage the work and do it effectively.

Problem Solving

The Director of Administration must demonstrate how to evaluate situations and find effective solutions. SRP will be fast paced and at times overwhelming, with potential problems arising. The Director must anticipate these problems and be able to strategize ways to remedy such problems.

Essential Duties and Responsibilities:

  • Directly supervise and manage the day to day operations of the Supervised Release Program;
  • Develop and maintain relationships with external stakeholders to include CBO’s and foster partnerships;
  • Directly oversee internal and external programming such as Arts, Family Services, Benefits Access, and other programs as needed;
  • Coordinate and oversee pantry services;
  • Directly oversee night court community engagement functions and provide support as needed;
  • Directly oversee and schedule day and night client escorting;
  • Directly oversee client ID process;
  • Ensure all services rendered are documented in data management system as required by the agency and by funding sources;
  • Ensure timely and accurate internal reporting, including playing an active role in development and implementation of new reports as needed to assess program effectiveness and achievement of desired outcomes;
  • Plan, develop, conduct and/or arrange in-service training to maintain and improve staff competencies and optimal service delivery;
  • Develop and implement corrective action plans as needed;
  • Clearly communicate unit and agency priorities and ensure that priorities set are carried out;
  • Assess, recommend, develop and implement accountability systems and best practice strategies to ensure compliance with programmatic requirements while producing maximum client outcomes;
  • Provide both formal and informal staff assessment, and recommend hiring, firing, promotional and disciplinary decisions concerning staff members to the Senior Director of Programs;
  • Oversee the crisis team and provide short-term crisis intervention as needed and make appropriate referrals for appropriate services;
  • Strong administrative and organizational skills;
  • Develop, monitor and conduct quality improvement to ensure program goals/objectives are achieved; and
  • Perform other related duties as needed.

Supervisory Responsibilities:

Directly oversee staff; carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include planning, assigning, and directing work; appraising performance; rewarding and engaging employees; addressing employee relations and resolving problems.

Qualifications:

  • Bachelor’s degree in criminal justice, human services, social work or related field required;
  • Three or more years preferred of full-time management experience, in the field of substance use, mental health and/or criminal justice with clientele similar to that served by the program(s) and with experience supervising counselors/social workers;
  • Computer literate; advanced skills such as Excel and database applications are preferred;
  • Team-oriented, anticipatory self-starter working style; a strong work ethic, and the ability to think strategically required; and

Travel Requirements: Bronx Criminal Courthouse Fortune Office and may require travel to community-based sites.
