Dispatcher Role (Full-time, hybrid)

Job description: Rescue Plumbing is seeking a organized and calm-under-pressure Plumbing Dispatcher. You will be the critical link between our customers and technicians, managing service calls, scheduling jobs, and ensuring a fast, reliable response. The ideal candidate excels at multitasking, communication, and problem-solving in a fast-paced environment.
Key Responsibilities:
- Answer high-volume phone calls and respond to customer inquiries via phone, email, and online platforms (WordPress Contact Form, Yelp, Local Services).
- Gather detailed information about plumbing issues, including urgency, location, and type of service.
- Schedule appointments using Housecall Pro, assigning technicians based on location, expertise, and availability.
- Adjust and reassign schedules as needed for emergencies or changes in availability.
- Provide accurate service timeframes and answer basic plumbing-related questions.
Job Coordination & Tracking:
- Monitor ongoing jobs, updating customers and technicians with real-time changes.
- Track technician statuses (On My Way, Start/Finish, Payment Status) in Housecall Pro.
- Handle callbacks, follow-ups, and complaints with empathy and professionalism.
- Maintain job accuracy and technician availability in the CRM.
Administrative Tasks:
- Complete documentation such as COI requests.
- Collect and process payments through Housecall Pro.
- Maintain accurate customer/job records and perform data entry in WhatConverts.
Team Collaboration
- Communicate clearly with technicians, dispatchers, and management.
- Share customer feedback, job status updates, and scheduling issues as needed.
Tools & Systems You’ll Use
- Housecall Pro: Scheduling, dispatching, payments, customer management.
- Notion: Task tracking, SOPs, project documentation.
- Google Workspace: Email, calendar, shared docs.
WhatConverts: Lead tracking and data entry.
