MINIMUM QUALIFICATIONS:
- Undergraduate degree or equivalent work experience
- Experience with databases and in administrative support services
- Microsoft office experience preferred.
- Must possess a valid California driver's license and maintain an insurable driving record under the Clinics' liability policy. May be required to obtain a Class II California driver’s license.
- Must pass all applicable health, fingerprint/LiveScan and DMV clearances.
JOB PURPOSE:
The EHR Billing Specialist is responsible for overseeing the integrity of the information processed through the Integrated Behavioral Information Systems (IBHIS), Los Angeles County's Substance Use Disorder (SUD) Information System (SAGE), Exym EHR system, and the internal databases. The EHR Billing Specialist supports the EHR Billing Coordinator and provides backup in their absence. Additionally, EHR Billing Specialist develops and reports billing and client information to staff and management.
ESSENTIAL JOB FUNCTIONS:
- Enters all clients into the IBHIS/SAGE and Exym systems.
- Responsible for assisting Coordinator with submitting billing for the Department of Mental Health/SAPC through the IBHIS/SAGE and Exym systems accurately and in a timely manner.
- Helps to Review IBHIS/SAGE and Exym system reports to identify denials or miscoding.
- Assists with verifying client eligibility in a timely manner to minimize uncompensated care.
- Communicate to direct care staff and their supervisors about mistakes or errors on their notes and tracks the resolution of them.
- Notifies supervisor if direct care staff have not resolved billing errors by the date requested.
- Maintains a valid C Number in IBHIS and SAGE.
- Alerts supervisor in a timely manner for any IBHIS/SAGE or Exym problems especially regarding funding, eligibility and denials.
- Process the requests from Coordinator or Management for change of funding, deleting notes, updating funding sources of a client, etc.
- Stay updated about the change in rules for billing services in Mental Health and SUD services. It is expected that the Billing Specialist will attend seminars, webinars, and meetings to have the most up to date knowledge of billing rules and regulations.

SECONDARY JOB FUNCTIONS: EHR Billing Specialist
- The EHR Billing Specialist works closely with departments to establish workflows that most efficiently and effectively utilize our electronic systems to support work, prevent errors, maintain consistency and quality, and facilitate reporting.
- Trains on all essential job duties to provide back up to the EHR Billing Coordinator
- The EHR Billing Specialist is a member of all new programs and grant implementation teams to ensure that the EHRS is used consistently and supports the new program needs, and that the system will support any associated reporting needs.
WORK SCHEDULE: (subject to change based on Center’s needs)
FLSA Status: Non-Exempt - Full Time
Work-Week: Sunday – Saturday
- Actual work schedule as agreed with Direct Supervisor and based on business/program needs.
- Remote with some onsite attendance of required in-person meetings or trainings.
