About the Role
Montera Construction, a growing mobile home installation company based in Cocoa, FL, is seeking a highly organized and resourceful Part-Time Executive Assistant to support our leadership team. This is a new position, and while we are starting part-time, there is potential for full-time hours as the role becomes more defined and established. This is a hybrid in person/remote role. The in person office locations are Titusville and Cocoa, FL.
We're looking for someone who takes initiative, is comfortable juggling priorities, and enjoys supporting a fast-moving team. The right candidate will help streamline executive operations, assist with internal projects, and play a key role in keeping the company organized and on track.
Key Responsibilities
- Manage executive calendars, schedule meetings, and coordinate appointments
- Draft and manage correspondence and professional communications - process executive emails
- Arrange travel itineraries, lodging, and other logistics as needed
- Maintain organized digital and physical filing systems
- Assist with project coordination and task tracking
- Collect customer reviews and organize for marketing use
- Support creation of marketing materials (brochures, presentations, flyers)
- Oversee and schedule content for the company’s social media accounts
- Prepare expense reports and assist with administrative tasks
- Liaise with vendors, clients, and subcontractors as needed
- Handle confidential information with professionalism and discretion
- Invoice customers and enter bills
- Record payments in QuickBooks online
- Work with the Bookkeeper to ensure accurate accounts
- Assist in hiring new employees
- Retrieve and process mail
Qualifications
- 3+ years of administrative or executive support experience preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication
- Proficiency in Microsoft Office, Google Workspace, and basic social media tools
- Ability to work independently and manage changing priorities
- Professional demeanor and sound judgment
- Must be extremely comfortable on a computer and able to adapt to new programs quickly
- Must maintain integrity and honesty at all times
