The Audit and Assurance Department of one of the fastest-growing accounting firms in the country is seeking an Executive Assistant who possesses a strong technical skillset, is motivated by quality work and embraces a collaborative environment. The Executive Assistant must maintain a mature, professional demeanor while projecting self-confidence when addressing questions and handling matters involving internal and external clients. This position manages a variety of tasks simultaneously and is capable of anticipating the needs of others while constantly seeking opportunities to improve workflow and efficiencies for assigned group and Firm as a whole. This position performs administrative work of considerable difficulty which may involve critical thinking, problem solving and independent judgment. The Executive Assistant must also be able to manage projects, work independently with little or no supervision and manage their time accordingly.
What You'll Do:
- Provide administrative support as required for entire audit department. Serve as a point of contact to client calls and as a back-up for staff who are out of the office.
- Manager Partner-in-Charge's calendar as well as department schedule.
- Event and meeting planning for the department and Partner-in-Charge.
- Prepare Budget to Actual Reports weekly for Partners.
- Process firm correspondence.
- Prepare engagement letters for new clients for department.
- Bind financial statements, prepare transmittal letters and mail, courier, etc.
- Assist audit staff with everything from supplies to correspondence, scanning, copies, and more while they are working in the field.
- Assist the Audit Coordinator with filing, scanning, tracking projects, correspondence, setting up client files, and other administrative duties.
- Scan and email all returned, signed confirmations.
- Mail original confirmations (scanning if necessary).
What We're Looking For:
- Communicating effectively in speaking or writing as appropriate for the needs of the audience (e.g. in person, over the phone, etc.).
- Managing schedules and appointments for others while simultaneously organizing own priorities.
- Producing letters, reports, and other documents in a professional and standardized manner.
- Work extended hours during peak seasons.
- Handle requests from multiple areas of management and multi-task.
- Provide high client service in a professional manner.
Your Qualifications:
- High school diploma or equivalent required.
- 4 years of experience in a professional support role.
- Experience with Microsoft Office programs including Word, Excel, Outlook and PowerPoint.
