We are seeking a skilled Export Coordinator with expertise in ocean freight to join our freight forwarding team. This role is integral to managing the end-to-end coordination of international shipments by sea, ensuring smooth operations with shipping lines, agents, and customs authorities. The ideal candidate will excel in pricing, export documentation, and regulatory compliance, delivering exceptional service to our clients in the dynamic world of ocean freight logistics.
Key Responsibilities
Ocean Freight Operations:
- Manage the full-cycle process of ocean export shipments, from booking space with shipping lines to ensuring timely delivery at the destination port.
- Coordinate with carriers, NVOCCs (Non-Vessel Operating Common Carriers), and overseas agents to secure cost-effective and reliable freight solutions.
- Monitor and track ocean shipments, providing regular status updates to clients and resolving any issues that arise.
- Develop competitive ocean freight quotations by negotiating rates with shipping lines and service providers.
- Stay informed about market trends, fuel surcharges, and peak season impacts to ensure accurate pricing strategies
Pricing & Carrier Negotiation:

Documentation Management:
- Prepare and verify essential export documentation, including bills of lading, commercial invoices, packing lists, certificates of origin, and export declarations.
- Ensure compliance with international trade laws, customs regulations, and client-specific requirements.
Customs & Regulatory Compliance:
- Coordinate with customs brokers and agents to ensure seamless clearance of shipments.
- Handle any issues or documentation discrepancies that arise during customs processes.
Client Relationship Management:
- Serve as the main point of contact for clients, providing updates on shipment progress and addressing any concerns.
- Develop and maintain strong client relationships to foster repeat business and trust.
Problem Solving & Troubleshooting:
- Address any issues with shipments, including delays, damage, or discrepancies, by liaising with relevant service providers and stakeholders.
- Proactively identify potential risks and implement solutions to mitigate disruptions.
Collaboration & Reporting:
- Collaborate with internal teams, including sales, operations, and finance, to ensure alignment on customer expectations and operational goals.
- Maintain detailed records of shipments, pricing, and compliance activities for internal reporting and audits.
Qualifications and Skills
- Minimum of 2-3 years of experience in freight forwarding with a focus on ocean freight operations.
- Strong understanding of the ocean freight industry, including shipping lines, port operations, and customs clearance processes.
- Proficiency in preparing and managing export documentation for ocean shipments.
- Familiarity with Incoterms, trade lanes, and international shipping regulations.
- Excellent organizational and time management skills, with the ability to handle multiple priorities in a fast-paced environment.
- Strong communication and negotiation skills to interact with shipping lines, agents, and clients effectively.
- Experience with logistics software and freight management systems is a plus.
- Problem-solving mindset with exceptional attention to detail.

Pay: $45,000.00 - $55,000.00 per year
