We have an excellent opportunity for an experienced Facilities Coordinator to come grow with our team in New York, NY! This position is to sit on-site with our client and oversee multiple sites or projects within facilities and office needs. The position is responsible for daily service delivery, employee management, overall customer satisfaction, and strict adherence to all SPS policies in correlation with the Client Services Manager. This position will act as the primary daily client when dictated by higher level leadership. While overseeing the staff onsite for all supervisory functions required.
Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous and efficient service.
Duties and Responsibilities:
- Responsible for the day-to-day coordination of the various aspects of facilities operations maintenance, repairs, cleaning and mailroom services, to ensure a safe, efficient, and well-maintained working environment.
- Responsible for managing vendor relationships, tasking on-site vendor resources, ensuring effective performance management and compliance with health and safety regulations, to improve service delivery and ensuring a comfortable, safe, and functional workplace.
- Responsible for supporting small projects and office moves.
- Responsible for undertaking regular inspections across all floors having regard and awareness of legal requirements, to ensure compliance with state and federal regulations.
- Operating in a customer-facing role with responsibility to provide outstanding customer service and effective stakeholder engagement, to support a positive work environment for employees and visitors.
- Must have prior experience with facility maintenance operations, vendor & contract management, safety & compliance, budgeting & reporting and project coordination.
- Responsible for setting up conference rooms, conducting walkthroughs, and assisting with large facilities projects, including office moves, to ensure smooth operations.
- Responsible for maintaining pantries, restocking supply closets, and replenishing copy paper at printer locations, to support day-to-day office functionality.
- Responsible for answering phones and assisting clients at the front desk, inputting packages into computer systems, and operating the postage machine, to provide efficient front-of-house and mailroom services.
- Responsible for changing light bulbs, assisting with packing up offices, and supporting minor maintenance tasks, to ensure a safe and functional workplace.
- Responsible for applying basic knowledge of striping and waxing floors, learning to operate equipment, and supporting facilities upkeep, to maintain a clean and well-presented environment.
- Responsible for working effectively both independently and as part of a team, and undertaking other duties as assigned, to contribute to overall facilities success.

Qualifications and Education Requirements:
- High School Diploma (or equivalent) required. Higher level degree preferred in: Facility Management, Business Administration, Information Management, Construction Management, Engineering, or similar.
- 2+ years of facilities or maintenance required.
- Previous management, supervisor, or lead experience.
- Ability to build business relationships and interact effectively with C level executives.
- Solid understanding of selling skills.
- Exceptional computer skills.
- Industry related experience a plus.
- Driven by client satisfaction, with proven track record of diplomacy and ownership.
- Strong integrity, solid business ethics.
- Strong team approach to account management.

- Required to maintain an overall professional appearance and attitude.

Physical Demands:
- Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
- Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
- Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.).
- Physically able to talk on the phone and input data simultaneously.
- Ability to lift or move 40 lbs. or greater frequently.
- Specific vision abilities required by this job include close vision, distance vision, ability to adjust focus and ability to match or may include detection of differences between colors, including shades of color and brightness.
