Job Summary
The Grants Coordinator is responsible for assisting the Grants Manager with the grants administration of a diverse portfolio of grants of varied complexities, ensuring that they are administered in a responsible manner, complying with all applicable rules and regulations established by both ¡HICA! and funders.

Key Responsibilities
- Conducts thorough research and helps monitor policy changes and trends in philanthropy to identify potential grant opportunities from government agencies, foundations, corporations, and other funding sources that align with organizational priorities.
- Help coordinate with programs director/program managers, as well as CEO/development staff regarding internal grant/funding priorities.
- Reviews grantor policies, regulatory documents, and other literature related project financial administration to maintain familiarity with grantor policies and revisions.
- Collaborate with Grants Manager to develop competitive grant proposals, ensuring narratives, budgets, and attachments meet funder requirements.
- Works with Finance Team and Programs Director/Program Managers/CEO to prepare detailed grant budgets and ensure expenditures aligned with funding allocations and program needs.
- Works closely with program staff to gather and synthesize data, success stories, and impact metrics for proposals and reports, and to ensure timely submissions of the same.
- Works with Program Managers, Programs Director, and Camino Director to monitor progress toward grant goals, objectives, and performance metrics.
- Works with Data Analyst to ensure accurate, consistent, and timely data collection for proposals, reporting, and program/organization evaluation.
- Assists in facilitating weekly solicitation meetings, providing updates on progress, challenges, and upcoming deadlines/reports.
- Assists in preparing monthly and quarterly grant status reports for internal leadership and funders.
- Maintains a master calendar of solicitation deadlines, submissions, and reporting requirements to support timely and accurate deliverables. Supports cross-departmental collaboration by helping Grants Manager share grant requirements, reporting expectations, and compliance updates with relevant teams.
- Contributes to the development of grant-related software tools, templates, and other systems that streamline proposal compliance, and reporting processes.
- Supports Grants Manager in organizing and maintaining grant files and records in digital and hard copy formats, ensuring compliance with recordkeeping requirements and internal procedures.
- Performs special projects and other related duties as assigned.
- Assist in occasional front desk coverage, including greeting visitors and answering calls.
Qualifications
- Bachelor’s degree and/or equivalent.
- Strong proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook) required.
- Must be able to identify priorities within multiple assignments in a high-pressured, short-deadline environment, and be able to work with diplomacy and efficiency in such an environment.
- Must be able to demonstrate excellent organizational, analytical, critical thinking, interpersonal, written, and oral communication skills.
- The successful candidate must be able to work well with all levels of employees, be flexible in nature, have sound judgment with an open and collaborative style that encourages teamwork and cooperation beyond the immediate team to the broader organization.
Compensation
Competitive annual salary range of $46k-$48k based on experience and qualifications plus excellent benefits package that includes Blue Cross Blue Shield Health and Dental (Vision optional) paid at 100% for each employee with coverage starting on first day of employment, 3 weeks’ PTO & sick leave plus 11 paid holidays, 1-week mid-year closure, 2 weeks closure at end of year, and Simple IRA Plan with 3% company match after one year of service.
