Reports To: Executive Director / Clinical Director

Position Summary:

We are seeking a highly organized and experienced Hospice Office Manager and Intake Coordinator to join our team. This dual-role position is critical to ensuring smooth administrative operations and efficient patient intake processes. The ideal candidate must have prior experience with Homecare Homebase (HCHB) EMR and a strong background in hospice care coordination.

Key Responsibilities: Office Manager Duties:
  • Oversee day-to-day administrative operations of the hospice office

  • Supervise office staff, including administrative assistants and support personnel

  • Maintain organized medical and administrative records in compliance with HIPAA and regulatory standards

  • Coordinate communication between field staff, clinical team, and administrative departments

  • Manage office inventory, supplies, and equipment

  • Support the preparation of audits, reports, and regulatory compliance documentation

  • Ensure timely data entry, billing processes, and follow-ups in HCHB

  • Assist with coordination of new employee orientation and onboarding

  • Maintain accurate and complete personnel files in accordance with state, federal, and accreditation requirements

Intake Coordinator Duties:
  • Receive and process patient referrals in a timely and accurate manner

  • Verify patient eligibility, insurance benefits, and obtain necessary authorizations

  • Input and maintain referral and intake data using Homecare Homebase (HCHB)

  • Coordinate with physicians, discharge planners, and families during the admissions process

  • Schedule initial assessments and coordinate with clinical staff to ensure prompt admissions

  • Provide compassionate and informative communication with patients and families

Requirements:
  • Minimum of 2 years of experience in hospice or home health intake coordination

  • Proficient in Homecare Homebase (HCHB) EMR system (required)

  • Experience in office management or healthcare administration

  • Familiarity with employee file documentation and HR compliance in a healthcare setting

  • Strong understanding of Medicare, Medicaid, and private insurance billing

  • Excellent communication and interpersonal skills

  • Highly organized with strong attention to detail

  • Ability to multitask in a fast-paced environment

  • Working knowledge of HIPAA and hospice regulatory guidelines

Preferred Qualifications:
  • Associate's or Bachelor's degree in healthcare administration, business, or related field

  • Previous supervisory experience in a healthcare setting

  • Bilingual (English/Spanish) a plus
