JOB TITLE: Human Resources Assistant FLSA Status: Non-Exempt General Statement of Duties: Responsibilities include employee recruitment, onboarding, offboarding, maintaining employment records, employment verifications, and document compliance. This position will also assist with worker’s compensation and special projects as needed. Supervision Received: Works under the direction of the Chief Human Resources Officer. Supervision Exercised: None JOB DESCRIPTIONExamples of Duties: The following examples of duties are intended to be illustrative only and are not intended to be all inclusive.
  • Coordinates job postings and performs various recruiting activities to fill open positions such as advertising/posting on internal and external websites, employment boards and facility boards. Manages and tracks applications through ATS. Facilitates internal application process to maintain the current data bank of possible job candidates. Participate in scheduled interviews as requested by managerial staff.

  • Onboarding and offboarding, ensuring all paperwork and HRIS system entries, and orientations are completed on time.
  • Process employee data changes (e.g., promotions, transfers, etc.) accurately in the Human Resources Information System (HRIS).
  • Maintain employee personnel files and records in compliance with local, state, and federal employment regulations.
  • Assists with I-9 verification, record retention tracking, and compliance audits.
  • Process pre-employment and volunteer background checks and respond back to requesting supervisors. Processes pre-employment drug test results and responds back to hiring supervisors when needed.
  • Maintains, updates and tracks onboarding and termination process for employees, including, but not limited to, offer letters, pre-employment, checklists, Orientation, E-Verify, and correspondence.
  • Prepares and tracks invoices for employment postings, drug screens and background checks and any other pertinent department business.
  • Provides customer service and support to internal and external staff, applicants, and follow-up as well as offering continued assistance as needed.
  • Processes verbal and written verifications of employment for mortgages, car loans, apartment leases, future employment, Social Security assistance, security clearance, etc.
  • Assists with employee engagement activities and company events.
  • Directs employees to appropriate HR resources.
  • Performs other duties as assigned.

Physical and Environmental Standards: Most work is done indoors in a busy office where noise and interruptions prevail. Must be able to frequently sit and occasionally walk, stand, climb, bend, kneel, stoop, reach and lift, push or pull. Manual dexterity is needed to type, write, use a calculator, and answer the phone. The ability to talk and hear via the telephone and through face-to-face communication is needed. Vision requirements include near and far acuity. Upper body strength is a requisite to lift/move a maximum of 30 pounds unassisted and 50 pounds with assistance. QUALIFICATIONSRequired Knowledge, Skills & Abilities: Ability to maintain a high level of confidentiality. Ability to establish and maintain effective working relationships with all levels of staff and the public. Proficient in Microsoft Office. Must be detail oriented. Previous experience working with an HRIS system is preferred. Must possess a valid driver’s license, a clean motor vehicle record, and meet all HRCA driving policy standards, including pre-approval to drive from the HRCA insurance carrier.

Must pass a pre-employment background check and drug screening.
