Job summary
Performs routine clerical, secretarial and administrative work in answering phones, receiving the public, providing customer assistance, data processing and bookkeeping.
Duties
· Answers in-coming calls and routes callers or provides information as required
· Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary to appropriate persons
· Receives, stamps and distributes incoming mail, processes outgoing mail
· Composes, types and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy and completeness
· Maintains inventories and orders office supplies and materials
· Prepares and monitors purchase orders and puts in claims to be paid monthly
· Issues dog licenses
· Processes claims and vouchers for payment into financial system
· Prepares claims for administrative or governing body approval.
· Maintains accounts payable and encumbrance system for public works contracts.
· Maintains filing system
· Maintains Bond Files for Elected Officials
· Performs any other duties as assigned by supervisor.
Minimum requirements
Graduation from a high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting, bookkeeping and computers and two (2) years of increasingly responsible related experience or any equivalent combination of related education and experience. Pass a background check and drug test.
Abilities required
Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures; and some knowledge of accounting principles and practices. Skills in operation of the following tools or equipment: phone, personal computer, copy machine, fax machine, postage machine, typewriter and calculator. Ability to perform cashier duties accurately; effectively meet and deal with the public; communicate effectively verbally and in writing; and handle stressful situations. While performing job duties, the employee is frequently required to sit, and talk or hear. Occasionally required to walk; use hands to finger handle or feel objects, tools, or controls; reach with hands and arms; lift and/or move more than 25 pounds.
