Womble Bond Dickinson (US) LLP’s Nashville, TN office is actively seeking a Legal Practice & Resource Assistant to support multiple attorneys. Duties will include a combination of practice support and administrative office responsibilities:
RESPONSIBILITIES:
- Word processing, formatting, editing and proofreading of documents.
- Maintaining a working knowledge of attorneys’ areas of practice
- Preparing and maintaining client and office files, including file indexes for legal documents
- Screening routine telephone calls per the attorneys’ instructions
- Preparing client billings and maintaining billing files. Working with Billing Department to resolve billing problems and efficiently processing final billing statements and letters.
- Maintaining accurate and up-to-date records such as name/address list, client/matter numbers, and marketing mailings.
- Scheduling meetings and conference rooms.
- Calendaring attorneys’ various meetings, appointments, court dates, etc.
- Scheduling outside vendors, such as court reporters and expert witnesses
- Managing conflicts checks, new client matter openings, and engagement and waiver letters
- Making travel arrangements
- Processing expense reports
- Maintaining attorneys’ bar and professional memberships
- Providing support for business generation efforts, including assisting with creating presentations
- Supporting attorneys in recruiting and other growth initiatives
- Maintaining knowledge of Firm policies, procedures, formats and specialized terminology
- Reserving conference rooms for meetings and events received from attorneys and staff in other WBD offices.
- Placing catering orders and preparing conference rooms for breakfast and lunch meetings and special office and client events
- Greeting and directing clients and guests to conference rooms
- Maintaining the cleanliness of the breakroom, conference rooms and reception seating area
- Ordering and stocking the breakroom with coffee, tea, water, other beverage supplies, and paper products.
- Managing office support services, including incoming/outgoing mail and FedEx, scanning and copying documents, books and other materials, and ordering and stocking office supplies
- Processing payment of invoices
- Preparing offices for new hires
- Coordinating building facility requests
- Maintaining relationships with vendors and building security
REQUIREMENTS:
- Bachelor’s degree preferred or at least five years of related experience
- Litigation support skills preferred
- Microsoft Word, PowerPoint, and Excel proficiency
- Ability to multi-task and work independently
- Punctuality and satisfactory attendance are imperative
- Attention to detail
- Excellent oral and written communication skills as well as proofreading skills
- Strong organizational and interpersonal skills
- Excellent client service is expected
