JOB DESCRIPTION:
Primary Purpose
To coordinate the postal information center for the school district and act as a liaison between schools/departments and all requests for postal and graphic arts services. This position also provides administrative and basic bookkeeping support to ensure smooth departmental operations.

1. Receive and route incoming calls; provide administrative support to the Graphic Arts department.
2. Provide follow-up information to district staff regarding graphic arts and mail work order status.
3. Prepare and maintain accurate reports, charts, and records for the Graphic Arts Manager and Chief Communications Officer.
4. Monitor and manage the Graphic Arts Center budget, contracts, and accounts payable/receivable.
5. Monitor and manage the mail center budget, contracts, and accounts payable/receivable.
6. Provide basic bookkeeping duties, including invoice processing, expense tracking, and purchase order coordination.
7. Provide occasional administrative support for department projects, scheduling, or event logistics.

12. Create and implement mail center procedures and train staff as needed.

15. Maintain accurate postal supply inventory and manage procurement.

EXPERIENCE:
Minimum Experience:
- Related experience in operation of postal services, mail equipment and receptionist duties
QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- 15 credited college hours OR three years of experience as a secretary or similar office experience
- Valid Texas driver’s license
- Eligible for coverage under the District’s vehicle insurance program
Special Knowledge/Skills:
- Strong organizational and multitasking skills
- Ability to understand and follow oral or written instructions
- Ability to maintain accurate records for district postage and Graphic Arts
- Ability to formulate graphs and charts for postage usage and Graphic Arts records
- Proficiency in Microsoft Word, Excel, Publisher, and other office software
- Knowledge of mail processing systems and general office administration
- Basic understanding of bookkeeping tasks, including invoice tracking, purchase orders, and account reconciliation

Moderate lifting and carrying (15-44 pounds), reaching above shoulders, use of fingers, walking (1-3 hours per day), standing (1-3 hours per day), specific visual requirements (ability to read mail addresses/telephone book), specific hearing requirements (ability to discriminate sounds, telephone conversations).
