POSITION SUMMARY
The Office Assistant is responsible for guiding patients through their health and wellness journey through high levels of customer service. This individual will coordinate appointments and ensure all patient needs are addressed prior to meeting with the interdisciplinary team. An individual with a customer service background and high attention to detail, with an affinity for sales, will thrive in the role.

EDUCATION AND EXPERIENCE
- High School Diploma or GED preferred
- 1-2 Years in a Customer Service Role
- Medical Billing (ICD-10) and Insurance Verification Experience
- Certification of IV Nutrition's Self Health Coach Certificate
OBJECTIVES
- Expresses, displays, and integrates interest in alternative and natural health
- Answer and direct phone calls in a polite and friendly manner within three rings
- Ensure high levels of customer satisfaction through excellent sales service
- Determine patients’ needs and wants by answering questions and address patient concerns
- Welcome visitors in a warm and friendly manner
- Schedule client appointments and team meetings (in-person and/or virtually)
- Keep detailed and accurate records of clients requests and of calls received
- Assist in the compliance aspect of each client through tasks, reports, and files
- Send emails, texts, and appointment confirmation to all clients and ensure all forms are returned and properly completed
- Verify and validate insurance coverage for clients using various insurance carriers' portals, databases, and electronic systems
- Creates, verifies, and submit insurance claims for insurance coverage
- Ensure financial stability by accurately collecting fees and payments
- Overseeing office and medical supplies inventory
- Receive deliveries, sort and distribute incoming mail
- Prepare the office for a remarkable client experience
- Adhere to the law and company’s policies
- Help drive brand awareness, boost market presence and growth through social media and community
- Ability to cross train within the office setting, open and receptive to new skills and tasks
COMPETENCIES
- Knowledge of health care terminology and IV Nutrition Products and Services
- Knowledge of the sales process at IV Nutrition
- Ability to manage a high volume of new clients and maintain client information organized
- Demonstrate proficiency in handling administrative tasks efficiently
- Knowledge of EMR and CRM systems (Office Ally)
- Knowledge of sales standards and customer service routines
- Ability to rely on instructions and pre-established guidelines
- Proficient or advanced in Microsoft Office and G-Suite (Sheets, Documents, Gmail, Calendars, Slides)
- Knowledge of social media marketing (Facebook, Instagram, YouTube, etc.) and email and text marketing (Slick Text, MailChimp, etc.)

- Prolonged periods of time sitting at a desk or computer
