We are a busy nephrology practice in Hagerstown (plus several satellite offices) seeking a full-time Medical Office Manager. In this leadership role you will oversee all aspects of clinic administration and operations. You’ll supervise staff, manage clinic finances, and ensure a smooth, patient-centered workflow across our main office and satellite locations. The ideal candidate is proactive, organized, and comfortable managing regulatory compliance while supporting our providers and staff.
Responsibilities
- Lead daily office operations: Oversee front-desk and back-office staff schedules, training, performance, and day-to-day workflow to keep all clinic sites running smoothly.
- Manage personnel and payroll: Supervise hiring, onboarding, and performance management of clinic personnel; oversee payroll and HR functions for all locations.
- Regulatory compliance: Ensure full compliance with OSHA, HIPAA, and other healthcare regulations, maintaining secure patient records and safe working practices.
- Clinic scheduling: Coordinate provider and patient appointment schedules across the main office and satellite clinics, optimizing resource use and patient flow.
- Inventory and vendor management: Track medical and office supply inventories, place orders, and maintain relationships with vendors to ensure timely procurement.
- Billing and revenue cycle: Oversee medical billing, coding, and insurance claim processes; work closely with billing teams to ensure accuracy, efficiency, and timely reimbursement.
- Patient relations: Handle patient inquiries and complaints professionally; resolve conflicts and ensure a high level of patient satisfaction.
- Financial oversight: Assist with budget preparation, monitor expenses, and support cost-management efforts to meet financial goals.
- Provider support: Partner with physicians and clinical staff by anticipating their administrative needs and streamlining office procedures, helping to improve overall operational efficiency.
Qualifications
- Medical office experience: Minimum of 2 years’ experience managing a medical or clinical office (3+ years preferred).
- Certification: Certified Medical Office Manager (CMOM) credential or similar certification is highly preferred.
- Technical skills: Proficiency with Epic EMR (or similar electronic health record systems) is required. Strong skills in Microsoft Office (Word, Excel, Outlook) and QuickBooks (or equivalent accounting software) are also required.
- Leadership & communication: Excellent leadership, communication, and organizational skills, with the ability to manage multiple priorities and guide staff effectively.
- Regulatory knowledge: Thorough knowledge of healthcare regulations (HIPAA, OSHA) and insurance/billing processes.
- Other skills: Strong problem-solving abilities, attention to detail, and a commitment to patient confidentiality and customer service.
