Job Summary:
The Medical Records Retrieval Coordinator is responsible for retrieving and managing medical records from various healthcare provider portals and internal systems as well as requesting medical records from contracted providers. This role ensures that all medical records contain the necessary documentation for audits and compliance, maintains accurate logs of retrieval activities, and monitors trends in data collection.
Key Responsibilities:
Medical Record Retrieval & Data Management:
- Request and retrieve medical records from healthcare providers and internal systems.
- Retrieve and scan medical records from provider offices, including both physical charts and electronic medical records, into our internal portal.
- Download and upload medical records from internal and external portals and software such as EzCAP, LabCorp, Quest, and other vendor portals into Cozeva or similar software.
- Ensure all medical records contain the appropriate documentation to pass audits and reviews.
- Maintain accurate documentation of all retrieval activities in company systems.
Tracking & Monitoring:
- Complete system reviews within designated timeframes.
- Track, monitor, and provide daily updates on medical record retrieval efforts and escalate delays when necessary.
- Identify and report trends in record availability and retrieval challenges.
Compliance & Quality Assurance:
- Ensure all records are handled in compliance with HIPAA regulations and company policies.
- Verify accuracy and completeness of records before uploading.
- Work with internal teams to resolve any missing or incorrect documentation issues.
Collaboration & Reporting:
- Communicate with providers, vendors, and internal teams to facilitate record retrieval.
- Assist in improving workflows for more efficient record collection and data tracking.
Qualifications & Requirements:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Experience in medical records retrieval or healthcare data management.
- Knowledge of medical terminology and familiarity with EMR systems preferred.
- Strong attention to detail and excellent organizational skills.
- Proficiency in Microsoft Excel, Google Sheets, and data tracking tools.
- Ability to work independently while maintaining efficiency and accuracy.
- Strong problem-solving and communication skills.
Job Types: Full-time, Contract
Pay: $20.00 - $22.00 per hour
