Position Summary:
Under the direction of the Director of Membership Programs & Operations, the Membership Coordinator provides dedicated administrative and service support to USA Water Polo’s members, with an emphasis on delivering exceptional customer experiences. This role is responsible for responding to member inquiries, assisting with membership compliance and registration, providing event support, and maintaining general administrative functions. As a front-line representative of USA Water Polo, the position requires professionalism, efficiency, and a commitment to serving and growing the organization’s membership base.
Key Responsibilities:
Member Services & Compliance
- Respond to member service requests via phone, email, live chat, and Zendesk, providing information, troubleshooting, and resolving inquiries related to USA Water Polo’s database, events, products, and services.
- Process membership registrations, renewals, login assistance, payment transactions, and compliance documentation.
- Maintain accurate compliance records, including CPR, First Aid, SafeSport, scholarship, and date-of-birth validations.
- Manage and support the Academic All-American program and national award nomination/recognition programs.
Membership Program & Database Support
- Maintain membership-related portions of the USA Water Polo website.
- Assist with database integrity and reporting.
- Develop and implement innovative practices to support the growth and sustainability of the membership department.
Event Support
- Assist the Events Department with the planning and execution of high-performance and national events, on an as-needed basis.
- Support event setup, including tents, banners, inflatable pool courses, and other promotional materials.
- Transport supplies and equipment to events (ability to drive a full-size commercial van, U-Haul, or mini-truck required).
Other Duties
- Take on special projects and other assignments as directed.
- Collaborate across departments to ensure excellent member and event experiences.
Qualifications:
Required
- Strong customer service skills with the ability to build positive relationships.
- Ability to manage multiple projects and prioritize effectively to meet deadlines.
- Proficiency in Microsoft Office and Google Workspace.
- Excellent written, oral, and interpersonal communication skills.
- Ability to lift up to 50 lbs. and work in event setup/teardown environments.
- Willingness to work evenings, weekends, and holidays as required.
- Ability to travel to events nationwide, as needed.
Preferred
- Experience with Zendesk or other CRM/database systems.
- Knowledge of water polo or sports administration.
- CPR/First Aid certification.
- Bilingual or multilingual (English/Spanish preferred).
- Creative problem-solving skills and the ability to implement new ideas.
