Primary Duties and responsibilities:
1. Scheduling & Coordination
- Schedule client appointments, in-home inspections, and team meetings.
- Maintain and update calendars for consultants and sales reps.
- Confirm appointments and communicate changes promptly to all parties.
2. Client Communication
- Respond to calls, emails, and messages in a timely, professional manner.
- Send appointment reminders, estimate follow-ups, and general updates.
- Log all client communications in CRM or tracking system.
3. Team To-Dos & Task Management
- Assign and track to-dos for estimators, sales reps, and management teams.
- Use task/project software to monitor task status.
- Follow up regularly to ensure deadlines are met; flag overdue tasks for management.
4. Daily Phone Call Reporting
- Log daily phone activity with outcomes and required follow-ups.
- Submit summarized reports to sales/management teams.
5. Weekly KPI Reporting
- Track and report metrics like: number of calls, scheduled appointments, completed inspections, and open tasks.
- Prepare weekly summaries for management review.
6. Administrative Support
- Assist with creating and formatting estimates, proposals, and client paperwork.
- Organize and maintain digital and paper project files.
- Prepare job folders and ensure accurate documentation is available for field teams.
7. Bookkeeping & Bill Payment
- Track bills, due dates, and payment confirmations.
- Coordinate with the bookkeeper or accountant to ensure financial records are accurate and up to date.
- Record client payments, issue receipts, and track outstanding balances.
8. Office & Supply Management
- Order office and project-related supplies as needed.
- Maintain a clean, organized, and professional office environment.
9. Customer Service
- Address client inquiries, scheduling issues, or concerns with professionalism.
- Support smooth transitions between departments.
10. Software & Data Management
- Use CRM and admin platforms to update records and manage workflows.
- Ensure data accuracy for clients, payments, and internal reports.

Minimum Job Requirements
- Candidate must abide by a drug free workplace policy and are subject to testing.
- Proven experience as an administrative or office admin.
- Candidate must be punctual and on time.
- Proficiency in MS Office (MS Excel in particular)
- Computer savvy individual with CRM system knowledge a must.
- College degree preferred.
