We are seeking a highly organized and proactive Construction Administration Assistant to provide comprehensive administrative support to the Director of Operations in our Glassboro, NJ office. The ideal candidate is a tech-savvy professional with exceptional computer skills, a strong ability to manage multiple priorities, and a keen eye for detail. This role requires discretion, flexibility, and excellent communication skills to ensure smooth day-to-day operations.


Responsibilities:

  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Draft, edit, and format reports, presentations, and correspondence using advanced software skills.
  • Maintain and organize electronic files, databases, and records with a high level of accuracy.
  • Serve as a liaison between the Director of Operations and internal/external stakeholders, handling inquiries professionally.
  • Prepare agendas, take minutes, and follow up on action items to ensure timely completion.
  • Leverage various software and tools to enhance productivity, including Microsoft Office Suite, Google Workspace, and project management platforms.
  • Address administrative challenges efficiently and recommend process improvements.
  • Handle sensitive information with discretion and maintain strict confidentiality.

Qualifications:
  • 2+ Years of experience in construction administration or related field
  • Excellent verbal and written communication
  • Excellent organizational and time management skills
  • Strong attention to detail and ability to multitask
  • Ability to work independently and as part of a team
  • High level of knowledge in Microsoft Office (Excel, Project, Power Point, Word, Outlook)
  • Knowledge of the Submittal process & a desire to further product education utilizing this process
  • Experience reading scaled drawings and blueprints a plus
