Position Overview:
We’re hiring a full-time Office Administrator / Buyer to support our day-to-day operations. You’ll be the go-to person for everything from customer calls and emails to ordering products, supporting project scheduling, and keeping our office systems sharp. You’ll work closely with the owner and operations manager to free up time, streamline processes, and make life easier for our team and customers.
What You’ll Do:
Administrative Support
- Answer phones, emails, and greet customers
- Maintain digital and physical filing systems
- Order and track office supplies
- Schedule meetings and manage calendars
Purchasing & Vendor Coordination
- Place and track purchase orders
- Monitor backorders, pricing, and delivery schedules
- Maintain vendor relationships and resolve issues
- Assist with warranty claims and inventory control
Operations Support
- Prep job folders, confirm install details, and update project trackers
- Assist with invoicing, deposits, and CRM data entry
- Organize shipping, receiving, and product documentation
Customer Experience & Marketing
- Send follow-ups, thank-yous, review requests
- Help with seasonal promotions and showroom updates
- Maintain a friendly, welcoming presence for walk-ins and calls
What We’re Looking For:
- Exceptionally organized and detail-oriented
- Friendly, professional, and a great communicator
- Tech-savvy with basic Microsoft Office and Google Workspace skills
- Comfortable learning QuickBooks, CRM tools, and ordering systems
- Takes initiative and loves creating structure and efficiency
- Bonus: experience in purchasing, construction, or retail operations
Qualifications:
- High school diploma (Associate’s or Bachelor’s preferred)
- 2+ years in office administration or customer service
- Experience with vendors or purchasing is a plus
Schedule:
- Full-time: Monday–Friday, 8 AM to 5 PM (some flexibility)
