Job Overview
We are a small US manufacturer of electronic instruments, seeking a dedicated and detail-oriented Office Assistant to join our team. In this role, you will be the primary contact for order fulfilment and vendor payments (AR/AP), while providing exceptional customer service and support. The ideal candidate will possess strong detail and organizational skills and be proficient in various administrative tasks.
Responsibilities within a 2-admin small office
- Perform data entry tasks accurately to fulfill orders, pay vendors, maintain records and update information as needed.
- AR: Order write-up, processing, shipping, invoicing and receipt of payment (8-10/day)
- AP: Process purchase orders, receiving, vendor invoices and payments (8-10/week)
- Daily/Weekly/Monthly registers and reconciliation
- Respond promptly to customer inquiries via phone and/or email ensuring a high level of service.
- Proofread documents and communications to ensure clarity and professionalism.
- Organize files and documentation for easy retrieval and reference.
- Collaborate with team members to resolve customer issues and improve service processes.
- Maintain supplies and a clean organized workspace to promote efficiency.
- Provides support to the Office Administrator and all other departments.
Qualifications
- Proven experience in a customer service or administrative role is preferred.
- Strong data entry skills with attention to detail, and ability to execute mathematical functions correctly.
- Excellent proofreading abilities to ensure error-free communication.
- Proficient in using computer systems and software applications relevant to office management (Excel, Sage/Quickbooks, Word, Outlook).
- Outstanding organizational skills with the ability to manage multiple tasks simultaneously.
- Effective time management skills to prioritize workload efficiently.
- A proactive attitude towards problem-solving and customer satisfaction.
