Summary of Position
Performs office administrative duties required to ensure efficient operation of the planned and unplanned day-to-day activities plus long-term projects of the Office of the Deans of Instruction. Exercises independent judgment when screening calls and student issues. Provides guidance and assistance to departmental assistants. Provides administrative support to the Dean of Academic Instruction and the Dean of Career Technical Instruction. Regularly collaborates with other offices to include Student Services, Comptroller, Human Resources, and academic departments.
Minimum Required Education
High School diploma or GED required
Minimum Required Experience
One of the following is required:
- Six years wage earning clerical experience OR
- Certification/successful completion of relevant trade school (30 credits) and two years wage earning clerical experience OR
- Associates Degree and one year wage earning clerical experience
A copy of certificates and/or college transcripts is required with application, for evaluation purposes.
Required Knowledge, Skills and Abilities
- Willingly and effectively acts independently and uses problem solving skills to accomplish tasks and handle responsibilities
- Proficiency with Microsoft Office (e.g., Word, Excel, PowerPoint, Outlook, Teams) as well as student information system (e.g., Colleague/DataTel)
- Prepare error-free documents for signature; proofreads and verifies accuracy of agreements and forms
- Maintains confidentiality with sensitive information, including personally identifying information
- Works effectively within a group/team setting
- Effectively interacts orally (i.e., face-to-face, virtually, telephonically) and in writing with the public, faculty, administrators, students, and staff
- Sets priorities, meets deadlines, and multitasks to achieve timely, efficient, and effective completion of administrative duties
- Learns and adapts so as to embrace change
