Office Coordinator
Qualifications:
- Minimal: High School Graduate with 5 years management experience.
- Business Degree or equivalent experience managing medical practices and day to day activities.
- Computer proficiency with Microsoft, Google Drive, Excel and billing/collections software.
- Experience and skill with Human Resources, payroll, and policy compliance.
- Experience and excellence in customer and staff relationships appropriate for maintaining a harmonious workplace and satisfied clients.
- Knowledge of medical terminology.
- Experience in filing, office procedures, insurance billing/collections, basic accounting, and supervision of others.
- Ability to manage a team and delegate tasks effectively.
- Must be capable of maintaining practice and patient confidentiality.
- Servant leadership skills and mentality
- Familiarity with accounting software.
Duties:
- Responsible for day-to-day operations with maintenance of appropriate staffing for all positions.
- Maintains positive exposure of our clinic to our business “partners.”
- Produces and reviews all forms used by the clinic with ultimate approval from the Executive Director.
- Types and prepares correspondence to staff, physicians, payors, and clients as needed.
- Responsible for staff orientation and training at all levels. Assures new staff are comfortable and competent in their duties and responsibilities. Maintains all employee files including credentialing of professional staff.
- Responsible for maintaining compliance with OSHA, HIPAA, Corporate Compliance, Medicare Fraud and Abuse, and government Insurance Programs.
- Oversees all front office operations.
- Greets and assists visitors, clients and employees.
- Answers phone calls and responds in a professional manner.
- Maintains proper inventory of office supplies.
- Responsible for the hiring/firing process of all levels of staff. Seeks assistance with professional staffing needs and higher-level positions appropriately.
- Maintains open and positive communication with all levels of staff.
- Holds all staff accountable for their job duties and expectations. Disciplines staff as needed and maintains documentation of all staff encounters.
- Assures all staff provides optimal customer service to clients.
- Assures all staff treat each other with mutual respect and dignity.
- Schedules meetings and creates meeting agendas. Takes notes as necessary and follows up as needed to assure projects are completed by reasonable time frames.
- Schedule and coordinate events and celebrations
- Is cross trained in all front office positions and will step in as needed to help or cover in absence of staff.
- Performs marketing and public relations activities with physicians and the community; keeping a pulse on the community, our referral patterns and upcoming changes. Meets with physicians, referral coordinators and staff at other medical offices to maintain positive relationships with all referral sources.
- Coordinates "Patient Satisfaction Surveys" and communicates outcomes to appropriate staff.
- Participates in the Center for Physical Excellence Quality Assurance Program.
- Participates in Center for Physical Excellence in-services and staff meetings and takes appropriate notes of topics discussed.
- Develops and adheres to all policies and procedures for the Center for Physical Excellence.
- Intervenes, as necessary, on issues relating to patient complaints, health care provider’s concerns, and operational issues, and takes measures to correct situations and ensures appropriate personnel are involved.
- Prepares and maintains clinic statistics and reports using database or spreadsheet software. Develops reports to track referral patterns, data regarding health care provider availability, appointment waiting periods and un-kept appointments.
- Coordinates facility and equipment maintenance and training programs.
- Coordinates and directs all New Employee Orientation.
Job Type: Full-time
Pay: $23.00 - $27.00 per hour
Expected hours: 40 – 50 per week
