An electrical contractor in Coral Springs, Florida, specializing in electrical services and solutions, is seeking an experienced, proactive Office Manager to oversee internal operations and support executive functions.
Duties
Office Management & Operations
- Oversee daily office operations, scheduling, inventory, and vendor relationships
- Supervise and support office staff, including hiring, training, and performance management
- Foster a positive, professional work environment; address employee inquiries
- Delegate tasks and ensure project deadlines are met
- Implement and maintain administrative systems for efficiency
- Ensure smooth communication between departments (sales, dispatch, QA, etc.)
Executive Support
- Manage executive calendar, travel, and meeting logistics
- Draft, review, and edit correspondence and documents
- Act as a liaison between owner and stakeholders
- Handle confidential information with professionalism
- Conduct research and provide analysis for business decisions
- Organize events and company functions
- Coordinate and manage special projects
- Anticipate executive needs and resolve administrative issues
HR & Financial Support
- Assist with recruiting, onboarding, and HR compliance
- Manage payroll, basic accounting, and expense reports (QuickBooks preferred)
- Support financial reporting and budget tracking
- Ensure HR files, contracts, and documentation are organized
Qualifications
- 2+ years in office management, administration, and executive support
- Experience in financial management and QuickBooks
- Strong leadership and supervisory skills
- Excellent communication, interpersonal, and customer service skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills and attention to detail
- Proven time management and ability to prioritize tasks
- Strong problem-solving and analytical abilities
- Bilingual (English/Spanish) is a plus
- Ability to handle sensitive matters with discretion
